About The Position

The Project & Engineering Administrative Assistant will be responsible for receiving and registering customer-provided documentation for detail engineering or specialized engineering projects, including in-house generated documentation. This role involves maintaining document registers, binders for detail engineering projects, and shop floor drawings. The assistant will also handle date stamping and printing of shop floor engineering documents, downloading/uploading from various FTP clients, ISO, SharePoint, and customer portals. A key part of the role is providing administrative support to Engineers and Project Managers, ensuring timely task completion. The assistant will print, route, and distribute approved engineering and project documents accurately to the shop floor in compliance with ISO standards and internal procedures. Additionally, the role requires performing data entry for Part Creation, Routing, Inventory Parts, and Bills of Materials (BOMs) into the company’s ERP system, assisting in the maintenance of project schedules, and supporting engineering as a drawing checker for drafting accuracy and manufacturability. Support for the Customer Care team with order processing is also expected to ensure smooth interdepartmental handoffs.

Requirements

  • High School diploma or GED required.
  • Strong organizational skills and attention to detail with the ability to manage multiple tasks efficiently.
  • Proficient in Microsoft Office Suite for correspondence, data organization, and reporting.
  • Experience with ERP systems for inputting, updating, and maintaining project and inventory data.
  • Understanding of the ISO system and the elements that affect your job.
  • Responsibility of following all specific quality instructions and reporting all non – conforming material or conflicting instructions to the quality assurance department.
  • Must prove that employee can meet the essential duties of the job within 90 days by completing employee training checklist F-HR-720-02-03-02.

Nice To Haves

  • Preferred experience in an industrial or technical fabrication environment.
  • Proficient in Microsoft Office Suite applications a plus.
  • Knowledge of ISO standards, Quality standards and safety regulations a plus.
  • Experience in Solidworks, AutoCAD, and/or engineering drawing documentation a plus.

Responsibilities

  • Supporting engineering as a drawing checker ensuring drafting accuracy and manufacturability.
