About The Position

AECOM is seeking an Administrative Assistant to be based in Waterloo, IA. This role involves preparing and proofreading correspondence, forms, spreadsheets, and documents, scheduling meetings, making travel arrangements, and maintaining office supply inventory. The position requires familiarity with standard concepts, practices, and procedures within technical writing, communications, or marketing fields. The Administrative Assistant will use their experience and judgment to plan and accomplish more complicated goals, utilizing programs such as Word, Excel, PowerPoint, Outlook, and Bluebeam. This role also includes managing Administrative Department personnel, acting as the Site Safety, Health, and Environment Representative and Office Safety Liaison responsible for creating Safe Work Plans for Office Projects. Additionally, the position supports the Administrative staff in preparing proposals, business development documents, technical specifications, and reports, as well as assisting with contract development and completing payables for office expenses using corporate procedures. This role provides administrative support to the Office Manager.

Requirements

  • High School Diploma + 6 Years of Relevant Experience or demonstrated equivalency of experience and/or education.
  • Valid Driver's License
  • Proficient in Microsoft Professional Office Suite, including Word, Excel, and PowerPoint.
  • Working knowledge of office equipment (such as phones, printers, and scanners)
  • Proven experience as an administrative assistant
  • Knowledge of office management and procedures
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem-solving skills

Nice To Haves

  • Work experience in engineering, construction, or transportation industries preferred.
  • Working knowledge of InDesign software is a plus!

Responsibilities
