About The Position

The University of Nevada, Las Vegas (UNLV) is seeking a highly organized and detail-oriented Administrative Assistant IV to support the Department of Brain Health in its administrative, financial, and academic functions. This position is crucial for managing daily operations, coordinating with faculty, staff, and students, and ensuring smooth workflows. The role involves maintaining departmental records, organizing schedules and travel, and serving as a primary point of contact. Responsibilities include overseeing office procurement, equipment inventory, and key control systems, while maintaining confidentiality and compliance with university policies. Additionally, the position manages department budgets, including grants, philanthropic support, and self-supporting accounts, and prepares monthly financial reports. Processing travel authorizations, expense reports, and honorarium payments, as well as reconciling transactions and overseeing purchasing activities, are key duties. Collaboration with the Dean’s Office and university financial teams is essential. The role also supports academic and human capital management, including onboarding, recruitment, and hiring processes, and coordinating participation in neuroscience and School of Medicine programs. Facilitating HR policy compliance, preparing grant budgets, and supporting faculty research initiatives are also part of the role. The position may involve planning and executing department events and contributing to special projects to enhance departmental operations, with opportunities for process improvement and participation in departmental initiatives.

Requirements

  • Graduation from high school or equivalent education and four years of progressively responsible relevant work experience which included experience in one or more of the following areas: providing administrative/program support to professional staff and management; performing secretarial duties in support of a manager; coordinating communications between the manager, staff and program clientele; supervision of subordinate staff; researching information from internal and external sources.
  • OR one year of experience as an Administrative Assistant III in Nevada State service.
  • OR an equivalent combination of education and experience as described above.
  • A letter of interest (cover letter) and a detailed resume listing qualifications and experience.
  • Names, email addresses, and telephone numbers of at least three professional references who may be contacted.
  • Criminal background check may be conducted.
  • Academic credentials may be verified, and an official transcript of the highest degree may be required within thirty days of the first day of employment if credentials cannot be verified.
  • Ability to demonstrate the ability to perform job-related tasks.
  • Evidence of a valid driver's license will be required at the time of employment and as a condition of continued employment for positions that require driving.

  • Planning and executing department events, such as orientations, graduations, and research meetings.
