About The Position

Under direct supervision, this role performs general office duties such as opening/sorting/distributing mail, answering the main phone line, making copies, and sending faxes. The position provides support to Students, Faculty, Staff, the Administrative Assistant 3, and the Department Chair, when needed. The role requires interacting with students and staff in a professional manner, answering emails sent to the department address, and handling requests made in person by students, faculty, and staff. Maintaining records with confidentiality is essential. The position requires the use of the MS Office suite, including Word, Excel, and Teams. Responsibilities include answering questions about the department and its programs, preparing and sending print requests to Printing Services, collecting and filing syllabi for classes before the semester begins, and collecting and filing final grade backup from faculty after the semester ends. The role also involves filing, storing, and retrieving both physical and digital data, assisting in organizing twice-annual departmental meetings and other faculty meetings as required, and preparing Period Activity Pay Agreements (LOA Contracts) for faculty. Other duties may be assigned by the AA3 and/or the Chair.

Requirements

  • Graduation from high school or equivalent education and two years of clerical and administrative support experience which included experience in one or more of the following areas: maintaining records and files; preparing a variety of materials using a personal computer or word processor; assisting customers in completing forms and applications; and/or performing secretarial duties in support of professional staff; OR one year of experience as an Administrative Assistant I in Nevada State service; OR an equivalent combination of education and experience as described above.
