About The Position

The Administrative Assistant I for Human Resources provides clerical, administrative, and customer service support to the HR department. This position assists with daily office operations, employee records management, data entry, and communication with faculty, staff, visitors, and external agencies while maintaining confidentiality and professionalism. Appropriate on-campus attendance and punctuality are required.

Requirements

  • Strong written, verbal, basic math skills, and interpersonal skills are required.
  • Strong attention to details and organizational skills are required.
  • Ability to use office equipment.
  • Proficiency with Microsoft Office applications and general computer skills.

Nice To Haves

  • Two to three years of experience as a secretary or acceptable equivalent experience or an associate or bachelor’s degree.
  • Experience in Human Resources, Payroll, or higher education environments.

Responsibilities

  • Maintain confidentiality of sensitive employee and institutional information.
  • Serve as a point of contact, providing smooth communication with employees and timely resolution to their questions.
  • Assist the HR department by scheduling meetings, appointments, greeting visitors, answering phones, and responding to routine HR inquiries.
  • Perform essential day-to-day clerical duties, including typing, data entry, drafting of letters, proofing, and editing documents, scanning, and filing.
  • Prepare correspondence, reports, forms, and other HR-related documents.
  • Learn HRIS systems and databases quickly.
  • Review employee time entry submissions for completeness and accuracy.
  • Coordinate with Payroll regarding time entry corrections, deadlines, and processing.
  • Assist in maintaining office supplies & equipment needs. Procure quotes as needed.
  • Meet deadlines.
  • Notify Supervisor or Human Resources of any potentially dangerous equipment, practices, or violations of safety procedures.
  • Promote personal safety, safety procedures, and a safe work environment.
  • Assist in emergency situations and as called upon.
  • Perform other duties as assigned.
