In this role, they provide administrative support, ensure rigorous management of the files entrusted to them, and work in close collaboration with other team members. Requirements

  • Diploma of college studies in administration or other relevant studies.
  • Minimum of ten (10) years of experience in an administrative support role.
  • Strong knowledge and interest in various technological tools.
  • Excellent command of Microsoft Office Suite.
  • Proficiency in French and English, both spoken and written.
  • Frequent oral and written interactions in English with external partners based outside Quebec such as service providers, law firms, peers, bankers, brokerage firms, credit analysis firms, and credit agencies, etc.

Nice To Haves

  • Knowledge of the Concur system is an asset.

Responsibilities

  • Manage the schedules of certain team members by organizing complex meetings, managing scheduling conflicts, and ensuring necessary follow-ups.
  • Plan and organize business travel: authorizations, reservations, logistics, etc.
  • Prepare and review expense accounts and follow up as needed.
  • Make various reservations and registrations (restaurants, conferences, and any other internal or external event).
  • Coordinate the obtaining of legal document signatures via DocuSign and follow up as needed.
  • Coordinate and organize team meetings.
  • Register external visitors and welcome them.
  • Collaborate on updating internal processes and procedures and participate in various projects by collaborating with administrative team resources.
  • Support the team in reviewing translations of documents (English-French) or PowerPoint presentations.
  • Coordinate the execution of projects facilitating team collaboration, for example, organizing the team's SharePoint, tracking the team's project progress.
  • Work with ease with our collaborators in the Caisse's international offices.
  • Maintain cordial business relationships with internal and external partners.
  • Collaborate in managing activities related to the operational risk management executive committee or other committees (committee planning, preparation, proofreading and sending presentation documents to members, sending invitations to members and guests, etc.).
  • Be available on an occasional basis outside of normal working hours to manage an urgent situation.
