About The Position

As an Administrative Assistant, you will provide essential administrative support to the team located at Galeries d'Anjou, while serving as a key liaison for internal and external communications. This role is essential to ensuring the smooth operation of daily activities, supporting strategic initiatives, and maintaining the high service standards that define JLL's commitment to excellence. You will work closely with management to coordinate complex projects, manage critical documentation, and facilitate seamless communication among multiple stakeholders in a dynamic commercial real estate environment.

Requirements

  • College diploma (DCS) in secretarial studies, office automation, or related field
  • Minimum 3-5 years of experience in administrative support or property management administration
  • Fluency in written and spoken French and English with strong business writing skills
  • Proficiency in Microsoft Office suite (Word, Excel) and Office 365 platforms
  • Demonstrated ability to work under pressure and meet tight deadlines consistently
  • Strong organizational and prioritization skills with attention to detail and accuracy
  • Proven ability to multitask effectively in fast-paced environments

Nice To Haves

  • Experience with property management systems (Yardi, PayScan, VCard)
  • Knowledge of commercial real estate operations and lease administration
  • Experience supporting senior management in strategic planning activities
  • Familiarity with tenant relations and external stakeholder communication
  • Project coordination experience in corporate environments
  • Experience with document translation and bilingual correspondence
  • Oral and/or written interactions with tenants or external partners based outside Quebec (for example, service providers, law firms, peers, bankers, brokerage firms, credit analysis firms, credit agencies, non-French-speaking clients, etc.)

Responsibilities

  • Support and monitor the General Manager's projects including scheduling, budgeting, action plan creation, and strategic planning initiatives
  • Navigate property management systems (Yardi, PayScan, VCard) to maintain accurate tenant information and lease documentation
  • Coordinate tenant insurance certificate renewals and update systems to ensure compliance and current records
  • Manage digital and physical document systems including filing, archiving, and maintaining organized folder structures
  • Prepare, translate, and proofread business documents in both French and English for various stakeholders
  • Follow up on lease agreement statuses and coordinate with tenants and head offices for information validation
  • Handle administrative tasks including courier services, office supply ordering, and correspondence management
