The Accounts Payable Administrator will support the Accounts Payable team and maintain an organized system of documentation. This role requires a strong focus on customer service, fostering a positive and professional culture throughout the organization. The ideal candidate will be detail-oriented, possess excellent communication skills, and be committed to upholding the confidentiality and security of financial information.

Requirements

  • Minimum of one year of experience in Accounting or Accounts Payable.
  • Knowledge of applicable accounting systems and financial chart of accounts.
  • Proficiency in MS Excel, Outlook, strong 10-key by touch, typing speed of 60+ wpm, and excellent filing skills
  • Ability to work independently in a fast-paced, high-volume environment with a focus on accuracy and timeliness

Responsibilities

  • Deliver comprehensive administrative assistance to ensure smooth and efficient office operations.
  • Sort and distribute all incoming mail and packages accurately and efficiently across multiple departments.
  • Review and distribute all incoming emails and invoices to the general Accounts Payable inbox.
  • Organize checks, obtain all required signatures, and postmark checks promptly.
  • Meter all outgoing mail and conduct post office runs as needed.
  • Maintain efficient and organized files and documentation to support smooth operations.
  • Ensure the confidentiality and security of all financial files and sensitive information.
  • Efficiently organize and manage tax documents ensuring all paperwork is accurately filed and readily accessible.
  • Obtain necessary signatures on tax documents.
  • Coordinate with a notary to ensure documents are properly notarized.
  • Prepare and send documents via certified mail, ensuring timely and secure delivery, and maintaining tracking records.
  • Assist with other projects as needed.
