About The Position

This role leads Workplace Operations for our San Jose, CA, office, ensuring it is safe, efficient, compliant, cost-effective, and aligned with business needs. Requirements

  • 8+ years of experience in workplace operations, facilities management, employee experience, hospitality, or office management.
  • Demonstrate experience overseeing workplace vendors, service providers, and related contracts and service-level agreements.
  • Demonstrate exceptional operational, organizational, and project management abilities to handle multiple priorities at the same time effectively.
  • Demonstrate expertise in building and maintaining effective relationships with employees across all levels, including senior stakeholders and executive leadership.
  • Demonstrate exceptional written and verbal communication skills to lead change management initiatives and share workplace updates efficiently.
  • Manage budgets, operational expenses, and purchase order processes effectively within a corporate environment.
  • Work onsite at HQ in either San Jose or Seattle for four days each week.
  • 10+ years in workplace operations or facilities management, ideally in a global environment
  • Demonstrate experience overseeing multiple locations and managing varied vendor portfolios effectively.
  • Demonstrate extensive understanding of safety, compliance, and environmental health and safety regulations.
  • Demonstrate exceptional ability in managing projects and overseeing budgets effectively.
  • Adapt to a dynamic, rapidly evolving environment with changing priorities effectively.
  • Demonstrate effective communication and teamwork abilities when working with international teams.

Responsibilities

  • Overseeing daily workplace operations and service delivery, ensuring offices remain safe, functional, and operate effectively across all facilities services, upkeep, and workplace standards.
  • Developing and implementing operational processes enhances consistency, scalability, and overall satisfaction among employees within the workplace environment.
  • Creating an engaging and inclusive workplace environment through programs, events, and initiatives ensures a seamless experience for employees, visitors, and leadership.
  • Gathering and acting on employee input to consistently enhance workplace services, leveraging data and usage patterns to guide informed choices.
  • Serving as a reliable workplace partner to local leadership, collaborating with People Experience, Technology, Security, and Real Estate teams to support organizational growth and planning.
  • Managing vendor relationships, contracts, and service-level agreements, ensuring timely delivery of services within budget and meeting established quality standards.
  • Monitoring workplace budgets, invoices, and purchase orders, identifying opportunities to reduce costs while ensuring a high-quality experience is maintained.
  • Supporting office relocations, expansions, renovations, and workplace projects while driving ongoing improvement efforts and establishing operational best practices.
  • Overseeing daily operations across global offices, ensuring proper maintenance, handling repairs, managing vendors, and coordinating janitorial services efficiently.
  • Managing health, safety, and environmental programs, including conducting fire drills, performing compliance audits, evaluating ergonomics, and completing risk assessments.
  • Leading global credentialing initiatives, managing access control systems, and coordinating security operations.
  • Overseeing energy tracking, sustainability initiatives, and biophilia guidelines.
  • Managing workplace services and amenities, including food programs, parking, mailroom operations, couriers, office supplies, and the new hire remote equipment program.
  • Managing internal audiovisual operations and ensuring effective digital signage oversight.
  • Managing workplace budgets, forecasts, and reporting responsibilities effectively.
  • Managing asset inventory, coordinating global shipping, ensuring business continuity planning, and maintaining operational readiness.
  • Collaborating across teams on organizational events, supporting leadership program operations, and driving strategic initiatives to enhance workplace effectiveness.
