This is a unique opportunity to combine operational excellence with creativity - managing our New York office, supporting our growing global footprint, and building an environment where people love to work. Note, this is an office-based position, with a minimum of 4 days per week in our New York office.

Requirements

  • Proven experience in workplace management, office operations, or employee experience, ideally in a tech or high-growth environment.
  • Organised, detail-oriented, and able to manage multiple priorities effectively.
  • A natural people person - approachable, empathetic, and skilled at building trusted relationships.
  • Creative mindset for designing engaging events and experiences.
  • Comfortable with ambiguity and change - thriving in a fast-paced scaling company.

Nice To Haves

  • Prior experience in office setup or relocation projects is highly preferred.
  • Experience with workplace technology, operational systems, or driving the adoption of AI or automation tools.

Responsibilities

  • As the office-based lead, take ownership of the day-to-day running of our New York office, ensuring it’s safe, welcoming, and set up for productivity.
  • Manage all vendor relationships, office supplies, and equipment.
  • Maintain accurate inventory and simple, scalable processes for onboarding, offboarding, and basic IT support.
  • Oversee facilities, health & safety compliance, and building management.
  • Support onboarding logistics - making sure new joiners feel at home and have everything they need from day one.
  • Proactively identify opportunities to improve processes, workflows, and the overall workplace experience.
  • Own office layout planning and optimisation, ensuring our space evolves effectively as teams scale, including seating plans, neighbourhoods, meeting-room configurations, and space forecasting as teams continue to scale.
  • Manage operational subscriptions and tooling across 9fin, ensuring cost-effectiveness, renewal tracking, and alignment with company needs.
  • Maintain organised internal documentation (processes, checklists, vendors, subscriptions, playbooks) to support operational clarity and continuity.
  • Plan and deliver team events, socials, and initiatives that connect and energise our New York team.
  • Partner with People Partners to design and deliver global engagement events, ensuring all 9finners feel part of one community, regardless of location.
  • Support company-wide events such as Town Halls, offsites, and celebrations.
  • Act as a cultural ambassador, embedding 9fin’s values into the workplace and everyday experiences.
  • Collaborate with the People team on employee surveys, action planning, and initiatives that strengthen engagement and belonging.
  • Manage end-to-end office communications, supporting a seamless employee experience through timely updates on building operations, visitor logistics, office and local events, and safety notices across Slack, email, and in-office channels.
  • Work closely with teams across our global offices, providing support where needed as we expand our international presence.
  • Share best practices and support consistency in workplace and engagement standards worldwide.
  • While the role is primarily US-focused, there may be occasional requirements to support internationally - including office relocation coordination, internal communications support for global teams, and contributions to culture-building across our international locations.
