About The Position

JetZero is developing a blended-wing body (BWB) aircraft, designed to use up to 50% less fuel and be compatible with zero-emission hydrogen propulsion. The company aims to provide a sustainable solution for air travel, addressing the increasing environmental impact of aviation. The team consists of experienced aerospace professionals and engineers dedicated to achieving carbon-free flight.

Requirements

  • 7+ years of overall professional experience
  • At least 3-4 years within the last 5 years in a role spanning office/workplace operations, administrative assistant, or People operations administration
  • Proven ability to operate independently as the sole administrative/operational presence at a site, with sound judgment on when to escalate
  • Experience handling confidential and sensitive information (employee relations, compensation, personnel records) with discretion
  • Strong vendor negotiation and budget management skills
  • Excellent written and verbal communication skills
  • Highly organized and proactive, able to manage shifting priorities across facilities, People, and event work simultaneously
  • Proficiency with Microsoft Office/Google Workspace
  • Familiarity with HRIS platforms a plus

  • Bachelor's degree preferred; equivalent practical experience considered

Responsibilities

  • Serve as the first point of contact for site-level personnel matters, escalating sensitive employee relations issues to central People/Legal.
  • Manage new hire onboarding and offboarding logistics, including paperwork, IT coordination, orientation, and exit processes.
  • Support the People department with recordkeeping, HRIS data entry, and administration of leave, time-off, and performance review processes.
  • Ensure compliance with company policy and employment law at the site level, flagging risks to central People.
  • Oversee day-to-day office operations, including supplies, mail, deliveries, visitor management, and general upkeep.
  • Maintain office policies and procedures consistent with company-wide standards.
  • Manage the site-level operating budget, track spending, and flag variances.
  • Act as the primary point of contact for all office-related matters for employees, visitors, and vendors.
  • Manage facilities maintenance, building security, and office space changes.
  • Source, negotiate, and manage vendor relationships (cleaning, catering, security, supplies, etc.) and ensure adherence to service agreements.
  • Track and approve vendor invoices in coordination with Finance.
  • Serve as the building liaison with property management on maintenance and lease-related matters.
  • Act as a cultural ambassador, ensuring the office environment connects employees to the company mission and values.
  • Identify opportunities to improve the workplace based on employee feedback.
  • Partner with central People/Culture teams to implement engagement, recognition, and wellness programs at the site.
  • Plan and execute in-office events, including celebrations, offsites, happy hours, and all-hands meetings.
  • Support leadership and cross-functional teams with meeting and event logistics.
