JetZero is developing a blended-wing body (BWB) aircraft that uses up to 50% less fuel and will be built to accommodate zero-emission hydrogen propulsion. Requirements

  • 7+ years of overall professional experience, including at least 3–4 years within the last 5 years in a role spanning office/workplace operations, administrative assistant or People operations administration
  • Proven ability to operate independently as the sole administrative/operational presence at a site, with sound judgment on when to escalate
  • Experience handling confidential and sensitive information (employee relations, compensation, personnel records) with discretion
  • Strong vendor negotiation and budget management skills
  • Excellent written and verbal communication skills; comfortable being the face of the company to employees, candidates, clients, and visitors
  • Highly organized and proactive, able to manage shifting priorities across facilities, People, and event work simultaneously
  • Proficiency with Microsoft Office/Google Workspace
  • Familiarity with HRIS platforms a plus

Responsibilities

  • Serve as the first point of contact for site-level personnel matters, escalating sensitive employee relations issues to central People/Legal as appropriate
  • Own new hire onboarding and offboarding logistics: paperwork collection, IT/equipment coordination, orientation, and exit processes
  • Support the People department with recordkeeping, HRIS data entry, and administration of leave, time-off, and performance review processes for the site
  • Help enforce compliance with company policy and applicable employment law at the site level, flagging risk to central People Office
  • Run day-to-day office operations: supplies, mail, deliveries, visitor and guest management, and general office upkeep
  • Maintain office policies and procedures consistent with company-wide standards, escalating gaps or exceptions to central Operations/People teams
  • Own the site-level operating budget; track spend and flag variances
  • Serve as the primary point of contact for anything office-related for employees, visitors, and vendors at the site
  • Manage facilities maintenance, building security, and office moves or space changes at the site
  • Source, negotiate, and manage vendor relationships (cleaning, catering, security, supplies, etc.) and hold vendors accountable to service agreements
  • Track and approve vendor invoices in coordination with Finance
  • Act as building liaison, coordinating directly with property management on maintenance and lease-related matters
  • Own the day-to-day employee experience for the office, acting as a cultural ambassador who keeps the site connected to company mission and values
  • Identify opportunities to improve the workplace and bring forward ideas grounded in employee feedback
  • Partner with central People/Culture teams to localize company-wide engagement, recognition, and wellness programs for the site
  • Plan and execute in-office events, including team celebrations, offsites, happy hours, all-hands, client or business development events
  • Support leadership and cross-functional teams with meeting and event logistics as needed
