Role Overview As the Workplace Experience Associate, you’ll play a key role in creating an exceptional, welcoming, and well-run workplace environment that enables REGENT employees to do their best work every day. Reporting into Workplace Operations, this role blends hands-on coordination, people-facing support, and operational execution across our four office locations. You’ll be the connective tissue between people, space, and systems—ensuring offices, including dining services, run smoothly, employees feel supported, and day-to-day workplace needs are handled with care, consistency, and attention to detail. From coordinating office logistics and vendors to supporting visits and events and maintaining a positive employee experience, this role is critical to how REGENT shows up for its team as we grow. Requirements

  • Experience in workplace operations, office management, facilities coordination, hospitality, or a similar employee-facing operational role.
  • Able to manage multiple tasks, priorities, and requests simultaneously while maintaining accuracy and follow-through with the ability to track inventory of food, beverage, office, and facility supplies on a daily basis.
  • Upbeat, friendly, approachable, and service-oriented, with a genuine interest in supporting employees and creating a positive workplace experience.
  • Strong Communication Skills: Car, professional communicator who can work effectively with employees, vendors, and cross-functional partners.
  • Comfortable anticipating needs, identifying issues, and taking initiative to improve how the workplace operates.
  • Thrives in a fast-paced, evolving environment and is willing to jump in wherever needed to support the team, while maintaining a calm, professional demeanor.
  • Comfortable using workplace tools such as Google Workspace, Slack, ticketing systems, and basic office technology.

You communicate effectively and collaborate with engineers, stakeholders, and other cross-functional teams to align on goals and move projects forward. Responsibilities

  • Support daily office operations by maintaining a clean, functional, stocked, and welcoming workplace.
  • Serve as a primary point of contact for employee workplace needs, questions, and requests.
  • Support office dining programs, including daily meals, catering, snacks, and beverage services.
  • Manage relationships with food vendors and caterers, accommodate dietary needs and preferences.
  • Ensure quality, cleanliness, and compliance with health standards for dining services.
  • Monitor budgets and control costs related to dining services.
  • Maintain inventory of office supplies, snacks, equipment, and shared spaces.
  • Maintain seating coordination, meeting room readiness, and general space organization as teams grow and shift.
  • Support front desk operations to ensure a professional, welcoming experience for all visitors.
  • Support visitor check-in processes and security protocols.
  • Support executive visits, including high-touch coordination as needed, including meeting rooms and refreshments.
  • Partner with cleaners and other vendors to ensure smooth operations and timely issue resolution.
  • Escalate maintenance + repair concerns with the facilities team.
  • Help support and execute in-office events, team gatherings, and workplace engagement initiatives that reinforce REGENT’s culture and values.
  • Partner with People and IT teams to ensure new hires have a smooth first-day experience, including workspace setup, access coordination, and office orientation.
  • Serve as a secondary point of contact for employee card access, supporting badge issuance, access changes, and troubleshooting.
  • Help maintain workplace processes, guides, and documentation.
  • Identify opportunities to improve efficiency, consistency, and the overall employee experience.
  • Maintain office safety practices, emergency readiness, and general compliance with workplace policies and procedures.
