About The Position

The Workplace Experience Assistant is responsible for supporting the day-to-day delivery of workplace and front desk services within an assigned office. This role helps maintain a welcoming, organized, and service-oriented office environment by executing routine workplace activities in accordance with established procedures, checklists, and service expectations.

Requirements

  • High school diploma required
  • One to three years of relevant workplace experience, front desk, administrative support, hospitality, facilities, or professional services experience preferred.
  • Computer fluency with Microsoft Office, Word, PowerPoint, Excel and Outlook
  • Strong oral and written communication skills with a client-first, service-oriented approach.
  • Professional appearance and demeanor with the ability to exercise good judgment and discretion.
  • Attention to detail, dependability, punctuality, and ability to complete recurring tasks accurately.
  • Proactive self-starter with the ability to manage routine tasks, follow standard procedures, and meet deadlines.
  • Comfort working both independently and as part of a team in a busy office environment.
  • Collaborative spirit, problem-solving approach and willingness to use available resources and tools to create efficiencies.
  • Fluency in English.
  • Client-first mentality.
  • Candidates must have authorization to work in the United States that does not now or in the future require employer sponsorship.

Responsibilities

  • Greet and escort visitors, answer phones, and support visitor logs, badges, mail and packages.
  • Reset and restock meeting rooms; submit routine maintenance tickets and follow up on basic service needs.
  • Complete routine logs, trackers, checklists, bulletin/calendar updates and issue reports for review.
  • Update and publish approved digital signage content and post approved updates to MyZS and Conversations pages.
  • Support fire and safety duties with guidance.
  • Provide back-up support as needed.
  • Complete daily office rounds, including rooms, pantry, copy areas, wellness supplies, signage, storage and common spaces.
  • Support event setup, catering receipt, signage, materials, clean-up and room reset.
  • Support SAP invoices, Corp AMEX receipt collection and other office finance activities under guidance.
  • Execute routine communication requests using established templates and processes.
  • Partner with IBG and other office teams to execute events.
