Requirements

  • Experience in an office coordination, operations, or facilities support role
  • Strong organizational and time-management skills
  • Proficiency with Microsoft Office and standard office tools
  • Comfortable managing recurring responsibilities with guidance and collaboration
  • Confidence interacting with vendors and external service providers
  • Ability to handle confidential information with discretion

Responsibilities

  • Provide day-to-day operational support in partnership with the office manager
  • Maintain filing systems and manage routine documentation, renewals, and records
  • Support operational tracking, reporting, and ad hoc administrative tasks
  • Coordinate building maintenance, repairs, and service requests
  • Liaise professionally with property management and external vendors
  • Attend vendor meetings and follow up on routine matters
  • Oversee seasonal upkeep of shared office and outdoor spaces
  • Act as a point of contact for day-to-day building matters, including ensuring proper open and close procedures, parking management, and general building access protocols
  • Support coordination of fire drills, emergency procedures, and general safety practices
  • Manage purchasing and inventory of office supplies and equipment
  • Assist with sourcing for furnishings and other operational needs
  • Maintain recurring inventory tracking and reporting
  • Serve as a liaison for internal coordination needs across teams
  • Chair the social committee, helping foster a positive and connected workplace
  • Contribute ideas to continuously improve office practices and processes
