About The Position

The People Operations Coordinator supports the day-to-day operations of the People & Culture Department by coordinating recruitment, onboarding, employee lifecycle processes, HR administration, and employee engagement initiatives. This role serves as a primary point of contact for candidates, new hires, and employees while ensuring a positive employee experience and maintaining compliance with organizational policies and procedures. The People Operations Coordinator plays a critical role in supporting workforce stability, enhancing the onboarding experience, maintaining accurate employee records, and fostering a culture consistent with CAHN's mission, vision, and values.

Requirements

  • Bachelor’s degree in business administration, Human Resources, or a related field; minimum of one year’s experience in Human Resources, preferably in a healthcare setting, or any equivalent combination of education, training, and experience which provides the required knowledge and abilities.
  • Minimum of three (3) years of experience in human resources, recruiting, onboarding, workforce administration, employee services, or related functions.
  • Knowledge of recruitment, onboarding, and HR administration practices.
  • Strong organizational and time management skills.
  • Excellent interpersonal and customer service skills.
  • Ability to build positive working relationships at all levels of the organization.
  • Strong written and verbal communication skills.
  • Intermediate proficiency with Microsoft Office applications and HR technology systems.
  • Strong attention to detail and accuracy.
  • Ability to handle confidential and sensitive information with discretion.
  • Ability to manage multiple priorities in a fast-paced healthcare environment.

Nice To Haves

  • Healthcare, FQHC, community health center, or nonprofit experience preferred.
  • Experience using HRIS systems, preferably Paycom, preferred.

Responsibilities

  • Serve as the primary coordinator for recruitment activities across the organization.
  • Post and maintain job openings on internal and external recruitment platforms.
  • Coordinate interview scheduling and candidate communications.
  • Facilitate candidate screening activities and recruitment workflows.
  • Prepare offer letters and employment documents.
  • Participate in career fairs, workforce development events, and recruitment initiatives.
  • Maintain applicant tracking records and recruitment data.
  • Coordinate and facilitate the full onboarding process for all new hires.
  • Ensure completion of pre-employment requirements, including background screenings, employment documentation, and HRIS setup.
  • Enter and maintain employee demographic and employment information within the HRIS.
  • Coordinate new hire orientation and onboarding activities.
  • Prepare onboarding materials and welcome resources.
  • Monitor onboarding completion and follow-up activities.
  • Support employment status changes, transfers, promotions, and terminations.
  • Collaborate with credentialing staff and operational leaders to support timely onboarding and credentialing of clinical staff.
  • Coordinate required documentation associated with position-specific requirements.
  • Monitor and track workforce training requirements.
  • Maintain records needed to support organizational compliance and accreditation requirements.
  • Serve as a first point of contact for routine employee inquiries.
  • Respond to employee requests in a professional, responsive, and timely manner.
  • Provide administrative support regarding employee relations matters and documentation.
  • Escalate employee concerns appropriately to leadership.
  • Maintain confidentiality regarding sensitive employee information.
  • Maintain hard-copy and electronic personnel records.
  • Support HRIS administration and data accuracy.
  • Assist with benefits enrollment and employee status changes.
  • Complete employment verification requests and related documentation.
  • Support recordkeeping, reporting, audits, and compliance initiatives.
  • Answer departmental calls and provide customer service support.
  • Assist with special projects and departmental initiatives assigned.
  • Support employee engagement activities, workforce recognition programs, and workplace events.
  • Assist with employee morale initiatives and culture-building activities.
  • Support employee communications and organizational announcements.
