About The Position

The Purchasing/Warehouse Coordinator, under the direction of the Purchasing Manager, will accurately maintain and further enhance the FoodTrak database and associated processes. This role will assist with Casino-wide inventory management, including maintaining par levels, obtaining bids, and managing transfers to inventory locations. The Purchasing Coordinator will work with departments in sourcing needed products per specifications requested while obtaining competitive pricing. This position carries out and administers all policies and procedures for the department.

Requirements

  • High School Diploma or equivalent.
  • Must be at least 21 years of age.
  • Must be able to effectively represent the gaming enterprise in a public venue.
  • Must be able to review, evaluate, and recommend changes in management policies, operating systems, sales and plan development.
  • Must be able to communicate with computer and management professionals.
  • Must possess the ability to interact with the public, fellow employees, tribal enterprises, county and state agencies.
  • Must pass an extensive background security check.
  • Must be able to obtain and keep a California Driver's license.
  • Able to obtain and retain gaming license through the Cahuilla Tribal Gaming Agency.
  • Ability to assign responsibilities and coordinate activities to meet objectives in an efficient and timely manner.
  • Ability to inform and communicate orally and in writing in diverse and challenging situations in order to address problems and relate established goals and objectives.
  • Must be able to lift over 50 pounds.

Nice To Haves

  • Preferred 2-3 years of hands-on Purchasing and Receiving work experience.

Responsibilities

  • Accurately maintain FoodTrak for all related processes assigned.
  • Verify specifications of purchase requests and obtain purchase approval.
  • Prepare, track, and file completed purchase orders.
  • Research and source for new items and materials.
  • Coordinate with departments and communicate with suppliers to obtain competitive pricing for the specifications requested.
  • Assist and serve as backup in receiving, comparing and confirming prices, specifications, and delivery dates to purchase orders, and resolving any shipping discrepancies or errors with suppliers.
  • Assist and serve as back up in expediting delivery of purchases to end users or departments.
  • Investigate defective or unacceptable goods or services complaints with the original purchase requestor, users, vendors, and others to determine the source of trouble and take corrective action.
  • Track receiving documentation and verify the accuracy of vendor invoices.
  • Prepare vendor invoices for payment approval.
  • Accurately perform periodic and month-end inventories utilizing the inventory system (FoodTrak), and manually as needed at designated times to ensure appropriate cut-offs for accounting purposes.
  • Track inventory of stocked items, set reorder limits (pars), and ensure essential items are sufficiently on hand for the warehouse, and assisting as needed for F&B operations.
  • Document and deliver stocked items at the request of department users, following delivery/transfer schedules.
  • Book all travel and off-site training for Casino personnel.
  • Keep information/documentation accessible through a comprehensive filing system.
  • Maintain a comprehensive filing system of vendors and contracts.
  • Review all purchase orders against established budgets and invoices, and obtain appropriate authorization and signatures.
  • Receive and open appropriate mail, while date stamping and distributing accordingly.
  • Establish and implement policies and procedures relating to the Purchasing department.
  • Assist with developing and accurately maintaining Casino Fixed Assets and inventory tracking.
  • Comply with Cahuilla Casino policy and standard operating procedures.
  • Perform other duties as assigned or requested.
