About The Position

The American Swedish Institute (ASI) is a cultural gathering place that inspires curiosity, embraces creativity, and grows community by exploring Swedish culture. The Visitor Services Associate (VSA) is responsible for providing a world-class visitor experience through superior customer service at the front desk and via phone. VSAs handle admissions, reception duties, registrations, and problem-solving during public hours and events, contributing to ASI's mission as a welcoming gathering place.

Requirements

  • 2+ years customer service experience
  • Proficiency in computer database applications
  • Skilled with technology; working knowledge of the Microsoft Suite
  • Ability to communicate large amounts of information in English
  • Ability to sit/stand for extended periods
  • Demonstrated ability to manage multiple tasks efficiently
  • Strong verbal, written and problem-solving skills
  • Availability for weekend, evening, and special event shifts

Nice To Haves

  • Proficiency/familiarity with another language
  • Interest in Nordic culture

Responsibilities

  • Deliver exceptional service to visitors, staff, and volunteers, embodying ASI's commitment to radical hospitality.
  • Problem-solve for guests and rental clients, including physical tasks like opening doors, finding carts, retrieving supplies, and opening gates.
  • Serve as the primary point of contact at the front desk, answering and transferring calls, greeting visitors and volunteers, and providing accurate information about classes and events.
  • Process museum admissions accurately and manage cash drawers.
  • Handle class and event registrations using Altru software and maintain accurate records.
  • Open and close public spaces daily, including unlocking doors and turning on lights.
  • Review and adjust the volunteer daily schedule as needed.
  • Review and understand the ASI schedule.
  • Follow through with guest questions and communicate information to ensure team members are informed.
  • Adapt and independently prioritize work based on changing organizational needs.
  • Work collaboratively with other VSAs and volunteers at the front desk.
  • Assist in other areas as needed, such as mansion facilitation.
  • Learn basic information about ASI history, Swedish culture, and the Turnblad Family to answer visitor questions.
  • Sign up for after-hours mansion facilitation to ensure rental guests have a positive experience.
  • Navigate multiple software applications, including a complex Microsoft environment.
  • Assist visitors and online students with technical issues.
  • Recall and find information efficiently.
  • Demonstrate a commitment to Diversity, Equity, Accessibility, and Inclusion (DEIA) through personal development and inclusive behaviors.
  • Proactively ensure equitable and representative experiences for all museum visitors and program participants.
  • Perform other duties as assigned.
