About The Position

The Vision Services Site Coordinator plays a crucial role in ensuring the smooth and efficient operation of the eye care clinic. This position provides direct support across various departments, including Optical, Clinical, and Front Desk Operations, especially during periods of high demand or staffing shortages. The coordinator is responsible for overseeing site operations, ensuring compliance with policies, maintaining inventory, and improving site efficiency. Additionally, this role involves supervising support staff, managing patient satisfaction, and processing daily deposits, collaborating with management to ensure financial and billing functions are accurate and timely. Requirements

  • High school diploma or equivalent.
  • Active BLS certification.
  • Minimum of three (3) years of experience in an eye care clinic required.
  • Possess basic knowledge and skills appropriate for optometric care.
  • Telephone and computer skills necessary.
  • Maintains universal precautions.
  • Flexible in accepting work assignments.
  • Ability to multitask and capability to work independently.
  • General knowledge of all office equipment and eye care terminology.
  • Must be able to complete proficiencies of optician, optometric assistant, and front desk on an annual basis.
  • Team-building and excellent organization skills.
  • Ability to understand and apply the GLBHC mission and ethics daily.
  • Strong commitment to customer service.
  • Able to function individually and as a team member.

Nice To Haves

  • CPO, CPOA, CPOT, or ABO-NCLE preferred.
  • FQHC experience preferred.
  • Bilingual (English/Spanish) preferred.

Responsibilities

  • Directly assist with eyewear selection, guiding and supporting opticians to ensure prescriptions, comfort, and insurance coverage are met.
  • Provide hands-on support with dispensing, adjustments, and repairs during high-acuity situations, coaching opticians on patient education and troubleshooting.
  • Oversee and assist with accurate charting and documentation to ensure compliance with policies and clinical standards.
  • Provide direct patient-care support during increased clinical demand, including patient preparation and intake, pre-testing and imaging, administration of diagnostic drops, and coordination of external referrals.
  • Provide operational support to maintain patient access and clinic flow, including phone triage, scheduling, patient check-in/check-out, insurance verification, and data entry.
  • Monitor site operations to ensure compliance with company and department policies, procedures, and protocols.
  • Ensure maximum efficiency and productivity is maintained.
  • Track completion of patient recall lists, pre-visit planning, and insurance verifications.
  • Maintain adequate inventory and confirm equipment is in good repair.
  • Make recommendations for site improvement.
  • Directly supervise eye care support personnel.
  • Complete reviews of support staff in a timely manner.
  • Collaborate with vision services manager on staff recruitment, training, and retention.
  • Provide professional conflict resolution among staff as needed.
  • Lead monthly staff meetings.
  • Be responsible for patient satisfaction of optical orders.
  • Assist with site patient surveys.
  • Make recommendations for quality assurances and departmental policies.
  • Process daily optical deposits.
  • Confirm finance and billing functions are accurate, complete, and timely in collaboration with management.
