About The Position

This role provides operational support to ensure clinic flow, continuity of care, and efficient site operations. The Vision Services Site Coordinator will directly assist with optical and clinical operations during periods of high demand or staffing needs. They will also oversee front desk operations, clinic and staff oversight, quality assurance, and collections. This position requires a high school diploma or equivalent, active BLS certification, and a minimum of three years of experience in an eye care clinic. The role is full-time with flexible and varied hours, including potential evening hours. Telecommuting is not an option.

Requirements

  • High school diploma or equivalent.
  • Active BLS certification.
  • Minimum of three (3) years of experience in an eye care clinic required.
  • Possess basic knowledge and skills appropriate for optometric care.
  • Telephone and computer skills necessary.
  • Maintains universal precautions.
  • Flexible in accepting work assignments.
  • Ability to multitask and capability to work independently.
  • General knowledge of all office equipment and eye care terminology.
  • Must be able to complete proficiencies of optician, optometric assistant, and front desk on an annual basis.
  • Team-building and excellent organization skills.
  • Ability to understand and apply the GLBHC mission and ethics daily.

  • Able to function individually and as a team member.

Nice To Haves

  • CPO, CPOA, CPOT, or ABO-NCLE preferred.
  • FQHC experience preferred.
  • Bilingual (English/Spanish) preferred.

Responsibilities

  • Directly assist with eyewear selection, guiding and supporting opticians, and providing hands-on support with dispensing, adjustments, and repairs during high-acuity situations.
  • Provide direct patient-care support including patient preparation and intake, pre-testing and imaging, administration of provider-directed diagnostic drops, and coordination of external referrals.
  • Provide operational support for front desk functions including phone triage, scheduling, patient check-in/check-out, insurance verification, and data entry.
  • Monitor site operations for compliance with policies and procedures, ensure efficiency and productivity, track patient recall lists, pre-visit planning, and insurance verifications.
  • Maintain adequate inventory and ensure equipment is in good repair, making recommendations for site improvement.
  • Directly supervise eye care support personnel, complete staff reviews, collaborate on recruitment, training, and retention, and resolve professional conflicts.
  • Lead monthly staff meetings.
  • Ensure patient satisfaction with optical orders and assist with site patient surveys.
  • Make recommendations for quality assurances and departmental policies.
  • Process daily optical deposits and confirm finance and billing functions are accurate and complete.
