Job Description: The LMS Administrator/Training Coordinator will support the Training & Talent Development function within our fast-growing rare disease pharmaceutical company. This role is essential in ensuring the smooth execution of learning programs for our field-based teams—including Sales, Market Access, Field Reimbursement, and other customer-facing roles. The Training Coordinator will manage training logistics, support content updates, oversee LMS administration, coordinate with cross‑functional partners, and help maintain an audit-ready training ecosystem. The base compensation range for this role is $75-90K. Base Compensation is influenced by many factors including, but not limited to: time in the role, previous experience, skills, knowledge, performance, work requirements, internal equity, and business / economic conditions.

Requirements

  • Bachelor’s degree from an accredited university
  • 1–3 years in training coordination, administrative support, commercial operations, or pharmaceutical/biotech environment.
  • Strong organizational, planning, attention to detail and time-management skills.
  • Proficiency with Microsoft Office (PowerPoint, Outlook, Excel, Teams).
  • Experience with an LMS (ACTO, VEEVA, SUMMIT, Cornerstone, Docebo, Absorb, or similar).
  • Comfort working with diverse stakeholders.
  • Ability to manage multiple deadlines in a fast-paced environment.
  • Working proficiency with virtual training platforms (Zoom, Teams).

Nice To Haves

  • Experience in pharmaceutical or biotech training, commercial operations, or sales force support.
  • Knowledge of medical/clinical review processes (MLR or PRC systems such as Veeva PromoMats).
  • Basic understanding of rare disease commercial models and field team structures.

Responsibilities

  • Coordinate all logistics for New Hire Training, POA/NSM workshops, virtual instructor‑led training (VILT), and ad-hoc training events.
  • Manage calendars, invites, agendas, rosters, travel coordination, venues, and materials shipping.
  • Prepare and distribute training materials, job aids, and digital resources before, during, and after sessions.
  • Support facilitators during live or virtual sessions (moderation, breakout rooms, attendance tracking, technical support).
  • Customer‑Focused: Supports internal stakeholders with a service mindset.
  • Problem Solver: Anticipates needs and proactively resolves logistical or technical issues.
  • Assign, track, and report on training modules, compliance curricula, and due dates within the LMS (e.g., Cornerstone, Docebo).
  • Maintain an organized, up-to-date content library with version control and naming conventions.
  • Run routine reports (completion status, overdue training, certification progress) and support audit requests.
  • Partner with Training Managers to update slide decks, job aids, worksheets, and digital content—ensuring accuracy and brand consistency.
  • Coordinate submission of materials through Medical/Legal/Regulatory review workflows and maintain approval records.
  • Assist in documenting training attendance, assessments, certifications, and follow-up activities.
  • Serve as the operational point of contact for Sales, Marketing, Market Access, Compliance, Medical Affairs, and HR.
  • Help gather field feedback, surveys, and training evaluation forms to inform future enhancements.
  • Ensure all mandatory training assignments are deployed accurately and completed on time.
  • Maintain audit-ready documentation including rosters, agendas, version histories, and approval records.
  • Support SOP adherence including making updates as needed, across all training activities.
  • Manage training inboxes, SharePoint sites, calendars, and document repositories.
  • Support vendor coordination, SOWs, invoicing, and budget tracking.
  • Assist with onboarding schedules and communication for new hires.
