About The Position

The Tournament Coordinator is responsible for overseeing the golf facility and reporting to the Head Golf Professional and General Manager. This role provides exceptional guest service, manages group outings and events, and ensures all administrative procedures for bookings are followed. The coordinator also maintains communication with clients, encourages incremental sales, and directs the execution of events. They will utilize Event-Man tournament software, produce event materials, and foster marketing partner relationships. Additionally, they enforce golf course rules and regulations and assist with golf shop inventories and administrative reports.

Requirements

  • High School Degree or equivalent.
  • Ability to work well with the public, other staff members, and departments.
  • Must have an ability to work well with the public, other staff members and departments.

Nice To Haves

  • Associate’s Degree or relevant certification preferred.
  • Currently enrolled in the PGA Program.

Responsibilities

  • Oversee the golf facility and report to the Head Golf Professional and General Manager.
  • Provide exceptional guest service according to We-Ko-Pa Way Service Standards.
  • Maintain contact with all departments regarding group outings and events.
  • Confirm and implement booking and administrative procedures for each group, including contracts, deposits, and billing.
  • Maintain an organized filing system for group/tournament contracts.
  • Communicate with group contacts, encourage incremental sales through the golf shop and We-Ko-Pa Grille, and follow through with special orders.
  • Keep lines of communication open with group contacts regarding player numbers, special events, rental clubs, format, scoring, etc.
  • Maintain updated tee time space for contracted groups.
  • Inform all staff of scheduled events.
  • Direct and supervise the execution of entire events.
  • Complete event recaps and handle any issues.
  • Utilize Event-Man tournament software.
  • Produce creative and visually appealing scoreboards, scorecards, welcome letters, cart signs, and poster boards.
  • Develop and foster all marketing partner relationships, including maintaining Net Rate Agreements.
  • Enforce all rules and regulations governing golf course usage.
  • Assist with Golf Shop inventories.
  • Assist with administration of reports and other data.
  • Assist with the supervision of the outside golf staff (approximately 25 individuals).
