About The Position

Dauphin County Prothonotary's Office is currently accepting applications for the full-time position of Teamsters Clerk II. This is responsible clerical support work, involving customer service, moderate typing/data entry, and appreciable docketing and filing in the Prothonotary’s Office. An employee in this position receives, reviews, copies, routes, dispatches, and/or files standard legal documents, reporting discrepancies to the elected official or his/her designee. The incumbent types standardized legal documents (hard copy); demonstrates and describes procedures to junior staff; and reports to the Prothonotary or 1st Deputy, as the former directs. The employee in the Teamsters Clerk II role is responsible for but not limited to performing the following essential functions listed below:

Requirements

  • Graduation from high school or an accredited equivalency program
  • Computer proficiency in Microsoft Excel and Word
  • Ability to work with the public
  • 1-2 years working experience in office environment, county government or court system. Or, any acceptable combination of equivalent training and/or experience.
  • Knowledge of standard modern office practice.
  • Knowledge of standard English spelling, grammar, and usage; knowledge of applicable legal terminology.
  • Knowledge of pertinent Federal, State, and local rules and regulations.
  • Knowledge of applicable Rules of Court (Common Pleas and appellate) and Rules of Civil Procedure.
  • Knowledge of applicable court calendars and deadlines.
  • Knowledge of office configuration, filing systems, procedures, spaces, and work assignments.
  • Skill in operating standard business machines, including computer terminal; typewriter; photocopier; and facsimile machine.
  • Ability to understand and carry out moderately complex oral and written instructions.
  • Ability to interpret legal Judgments and Adjudications.
  • Ability to communicate clearly, in English, orally and in writing.
  • Must possess ability to record, convey and present information, explain procedures and follow instructions.
  • Must be able to sit for long periods throughout the workday, with intermittent periods of standing and walking and occasional periods of bending, twisting, carrying, pushing, pulling, stooping, reaching as necessary to carry out essential job duties.
  • Dexterity requirements range from coordinated movements of fingers/hands for typewriter and computer, to simple dexterity of feet/legs/torso as necessary to carry out job duties.
  • Sedentary work, with occasional lifting/carrying of objects with a maximum weight of ten pounds.
  • Must be able to cope with the physical and mental stresses of the position.
  • Must be able to move frequently throughout the workday as needed to carry out essential job duties.
  • Must be able to pay close attention to details and concentrate on work.

Responsibilities

  • Retrieves mail from Post Office box on a daily basis.
  • Receives and numbers Federal Tax Liens; scans, indexes, redacts and files same.
  • Receives and numbers Clerk of Court Judgments; scans, indexes, redacts and files same.
  • Processes Building Stipulations and enters into system.
  • Dockets, scans, indexes, including entry of Image ID Numbers into Full Court system to appropriate case and ROA entry, and filing.
  • Receives Notices of Satisfaction/Release of Federal Tax Lien; annotates and files same.
  • Answers customer queries, in person and by phone; retrieves, interprets, and/or copies and dispatches requested information.
  • Assigns docket numbers for civil actions, as received.
  • Greets and directs visitors; retrieves and copies public records, or directs callers to proper repository, as requested/according to standard procedure.
  • Maintains and updates dockets; files Orders of Court according to established procedures.
  • Notarizes documents, in accordance with applicable law.
  • Opens, sorts, and routes mail; answers phones, routes calls, and takes messages.
  • Transcribes data for exemplified records; ensures affixing of prescribed signatures to records dispatched out of states.
  • Processes custody orders, entering into FullCourt System; scans, indexes and files orders; holds Custody Orders for attorney pick-up.
  • Copies and forwards original conference summary reports to Court Administration; distributes copies to the parties when envelopes are provided.
  • Responsible for divorce actions including certification of decrees; mailing of notices to Department of Health. Provides monthly report of actions to Prothonotary.
  • Performs other job-related duties as required.
