About The Position

Envision Hospice is looking for a dependable, organized, and team-oriented Full-Time Team Assistant to support the daily operations of our offices. This is a hands-on position that will provide administrative and office support, assist with pre-bill audits, and help ensure our offices remain organized and running smoothly. The Team Assistant will primarily be based in our Tacoma office, with occasional coverage at our Port Orchard office as business needs require. Requirements

  • Previous administrative, office, customer service, healthcare, or medical office experience preferred.
  • Strong organizational skills and attention to detail.
  • Excellent communication and customer service skills.
  • Dependable, flexible, and willing to help wherever needed.
  • Comfortable managing multiple priorities in a busy office environment.
  • Able to work independently and take initiative.
  • Professional and friendly demeanor.
  • Basic computer skills, including Microsoft Office.
  • Ability to maintain confidentiality when handling employee and patient information.
  • Reliable transportation and ability to travel between our two office locations.

Responsibilities

  • Provide daily administrative and office support to keep operations running smoothly.
  • Provide occasional coverage at our Port Orchard office as business needs require.
  • Provide backup coverage for when other Team Assistants are out on PTO or unavailable.
  • Answer phones, greet visitors, and help maintain a welcoming and professional office environment.
  • Assist with mail, scanning, filing, copying, data entry, and document preparation.
  • Maintain office supplies and help keep office areas organized and stocked.
  • Prepare meeting spaces, materials, and patient packets as needed.
  • Assist with new-hire preparation.
  • Provide administrative support to HR, Intake, and Clinical teams as needed.
  • Assist with pre-bill audits, including reviewing records for missing or incomplete information and identifying items that require follow-up.
  • Help track outstanding items and communicate issues to the appropriate team members.
  • Assist with employee events, meetings, celebrations, and other office activities.
  • Complete general office projects, errands, and other tasks as needed.
