About The Position

BerryDunn is seeking a Tax Administrative Assistant to join their Tax Services Group. This role is crucial for the team's success, working closely with Tax Processing Specialists to ensure smooth and efficient daily operations. The position involves various administrative and clerical duties, requiring accuracy, professionalism, and a positive attitude. There are opportunities for growth and expanded responsibilities as skills are developed and strengths are demonstrated. The ideal candidate is motivated, organized, thrives in a collaborative environment, and can manage multiple priorities effectively. They should be able to prioritize and re-prioritize tasks, work independently when necessary, and contribute to team goals to meet deadlines. This role reports to the Tax Operations Manager and is an in-office/hybrid position based in Bangor, ME, or Portland, ME.

Requirements

  • Strong attention to detail and a high level of quality in work product
  • Excellent organizational abilities and administrative skills
  • Ability to work independently, prioritize work, and multi-task within a fast-paced environment
  • Ability to handle confidential and sensitive information
  • Ability to understand and meet deadlines, including following up with stakeholders
  • Proficiency with the Microsoft Suite of software (Outlook, Word, Excel, PowerPoint) and Adobe Acrobat

Nice To Haves

  • Experience with CCH Axcess Platform (Tax, Document, Workflow, etc.)

Responsibilities

  • Assist with sending Tax Organizers (printing & mailing)
  • Assist with digitizing, scanning, and processing organizers through autoflow
  • File client records in transit files (completed organizers, support, etc.)
  • Mail client records back after deadlines
  • Assist with Tax-Only Engagement Letter preparation
  • Assist with printing and mailing returns
  • Prepare, Print, and mail invoices to clients
  • Sort through tax mail and distribute to team members as needed
  • Order office supplies for the Processing mail room
  • Send/Receive New Client Form to team members
  • Schedule meetings, trainings, webinars (Zoom/Teams), and room reservations
  • Order meals for tax meetings (lunch, dinner)
  • Coordinate Tax Group Celebrations & Social Activities & Trainings
  • Work with the Tax Operations Manager to book and organize annual Tax Daze in December
  • Maintain the tax ORG Chart on InfoLink and upload new files/videos for staff
  • Maintain the tax personnel tracker
  • Work as a team member, understanding individual and team roles
  • Contribute to a positive working environment by building solid relationships with team members
  • Proactively seek guidance, clarification, and feedback
