About The Position

Morgan, Lewis & Bockius LLP, a leading global law firm, is seeking a Legal Administrative Coordinator (LAC) to support the Tax Admin Support Practice group. This role reports to the Administrative Support Manager and is responsible for providing extensive administrative, secretarial, and document processing support to the assigned Practice Group, with a strong emphasis on superior client service. The position is based in the Washington D.C. office and requires an in-office presence three days per week, as scheduled by the manager, to foster an integrated and collaborative work culture, unless client demands or approved accommodations require otherwise.

Requirements

  • Bachelor’s degree and at least two (2) years of administrative support experience, or equivalent combination of education and experience
  • Previous law firm experience required
  • Demonstrates proficiency in Microsoft Outlook, Word, Excel, PowerPoint and Portable Document Format (PDF) software
  • Flexibility to work overtime required

Responsibilities

  • Regularly utilizes Task Delegation and Workflow Management software (BigHand) to receive, enter and update assignments
  • Timely communicates with supervisor(s) through BigHand and/or directly upon request the status of task completion and new developments that may impact the assignment and proactively seeks additional information or guidance when needed
  • Assists with word processing
  • Edits and proofreads correspondence, memorandums, reports, and other general communications
  • Drafts routine correspondence and memoranda
  • Updates recurring reports as assigned
  • Performs redlining
  • Demonstrates a high level of internal and external client service
  • Screens communication and responds promptly in a clear, concise, professional, and accurate manner
  • Responds to client, staff, legal professionals, and vendor inquiries
  • Answers phones and takes messages
  • Schedules appointments and coordinates meetings
  • Arranges audio and video conferences
  • Reserves conference rooms and arranges set-ups
  • Maintains attorney calendar and advises attorney of appointments
  • Updates attorney address book and InterAction entries
  • Assists with time entry
  • Assists with the billing process including proforma delivery, narrative edits, and customized reports
  • Processes new business intake, related forms, and correspondence
  • Processes expense reports and invoices
  • Arranges check requests
  • Monitors through completion
  • Arranges travel and prepares itineraries
  • Maintains attorney travel and desk profiles
  • Coordinates or assists with printing, scanning, copying of documents and/or sending of same
  • Maintains electronic and/or physical files, calendars, correspondence, and collaborative workspaces
  • Creates and maintains binders
  • Maintains case docket/calendaring, as needed
  • Transcribes text (e.g., correspondence, and miscellaneous legal documents) from handwritten drafts, voice messages or recordings
  • Opens, screens and routes mail, and manages faxes and email
  • Provides legal research, case support and project assistance
  • Other administrative duties as assigned
