About The Position

Eide Bailly LLP is seeking a Tax Administrative Assistant to provide administrative support to the tax department in their Oklahoma offices. Requirements

  • High school diploma
  • 3+ years of administrative support experience
  • Comfortable working in a fast‑paced, high‑volume environment, especially during busy seasons.
  • Highly organized, detail‑oriented, and able to manage multiple priorities.
  • Professional, discreet, and committed to maintaining client confidentiality.
  • Able to work independently with minimal supervision.
  • Comfortable using technology and learning new systems.
  • Proficient in Microsoft Excel: including the ability to create spreadsheets, perform data entry, use basic formulas, format worksheets.
  • Proficient in Microsoft Word: including formatting, creating tables, headers & footers.
  • Proficient in DocuSign: including creating, sending, and tracking documents for e-signature.
  • Proficient in Adobe Acrobat: including creating, editing, and commenting on PDFs.
  • Proficient in Microsoft Outlook and Teams.
  • Strong written and verbal communication skills.
  • Must be authorized to work in the United States now or in the future without visa sponsorship.
  • Prolonged standing and sitting, some bending, stooping, and stretching.
  • Ability to lift 20 lbs.

Nice To Haves

  • Public accounting experience is a plus.
  • Familiarity with CCH Access Tax, Document, CCH Engagement and experience with Autoflow and Microsoft CRM (Springboard), a plus.

Responsibilities

  • Support engagement setup and administration, including assisting with Master Service Agreements (MSAs) and Statements of Work (SOWs) for all Oklahoma offices.
  • Prepare, proofread, and format correspondence and client documents.
  • Maintain accurate databases and reports, including new client setup, project tracking, and due date reporting.
  • Process and assemble tax returns, extensions, e‑filings, and tax organizers.
  • Provide administrative support to the tax department to support efficiency, organization, and client service.
  • Collaborate with team members to provide backup and overflow support as needed.
  • Communicate professionally with partners, managers, and staff.
  • Utilize tax and accounting software to complete a wide range of administrative tasks.
  • Assist with special projects and other administrative duties as assigned.
  • Follow training guides, asking appropriate questions when clarification is needed.
  • Provide backup support to the front desk and other departments when needed.
  • Maintain regular, predictable in‑office attendance and meet established deadlines.
