About The Position

This role provides operational administrative support to the tax department, aiming to optimize efficiency, organization, and client satisfaction. The position involves processing and assembling tax returns, extensions, e-filings, and tax organizers, as well as preparing, sending, and tracking tax engagement letters. The Tax Administrative Assistant/Receptionist will answer telephones professionally, direct callers, and ensure the reception area, conference rooms, and kitchen are maintained and organized. This role also involves greeting and assisting walk-in clients, maintaining databases, setting up new clients, managing spreadsheets, tracking projects, and updating due date reports. Collaboration is key, with the expectation to provide overflow and backup support for other team members. The position requires the ability to professionally interact and effectively communicate with partners, managers, and staff, and to be a positive influence within the administrative team and the tax department. Duties may include utilizing tax and accounting software, performing other duties as assigned by the Department Head and Manager, and running office errands when necessary. The role demands regular and predictable attendance in the office, an ability to multi-task and meet deadlines, and openness to new challenges and special projects.

Requirements

  • High school diploma
  • 2+ years of experience in administrative support
  • Ability to professionally interact and effectively communicate with partners, managers, and staff.
  • Hold yourself to the highest professional standards and maintain strict client confidentiality.
  • Embrace technology and can demonstrate you have the skills to use computer-based technology to complete different tasks.
  • Proficient in Microsoft Excel: including the ability to create spreadsheets, perform data entry, use basic formulas, format worksheets.
  • Proficient in Microsoft Word: including formatting, creating tables, headers & footers, and utilizing mail merge functions.
  • Proficient in DocuSign: including creating, sending, and tracking documents for e-signature.
  • Proficient in Adobe Acrobat: including creating, editing, and commenting on PDFs.
  • Proficient in Microsoft Outlook and Teams.
  • Strong written and verbal communication skills.
  • Prolonged standing and sitting, some bending, stooping, and stretching.
  • Ability to lift 20 lbs.
  • Must be authorized to work in the United States now or in the future without visa sponsorship.

Nice To Haves

  • Experience in public accounting administration is a plus.
  • Familiarity with CCH Access Tax, Document, CCH Engagement, 1040 Scan.
  • Experience with Autoflow and Salesforce, a plus.

Responsibilities

  • Perform other duties as assigned by the Department Head and Manager.
  • Utilize tax and accounting software to complete a wide range of tasks.
