About The Position

MaintainX is seeking a Talent Operations Manager to build and lead the operational engine for hiring. This role involves managing a team of recruiting coordinators, sourcers, and specialists, and owning the systems, processes, and data infrastructure to support over 400 hires annually. The position reports to the VP of Talent and collaborates with various departments. This is a strategic role focused on building the talent machine for a rapidly growing company.

Requirements

  • 5+ years in talent operations or recruiting operations.
  • At least 2 years managing a team of coordinators, sourcers, or specialists.
  • Experience building or significantly improving talent operations at a high-growth tech company (Series C+ or 200+ employees).
  • Deep expertise with a modern ATS.
  • Comfortable with data: ability to build dashboards, define KPIs, and use metrics to drive decisions.
  • Experience managing recruiting coordinators and developing them into strong operations professionals.
  • Ability to move fast, communicate directly, and proactively fix issues.
  • Builder mindset: preference for creating new solutions over tweaking existing ones.

Nice To Haves

  • Experience with Ashby, including workflow automation, custom reports, and API integrations.
  • Familiarity with capacity modeling and recruiter workload analysis.
  • Experience leading an ATS migration end-to-end.
  • Experience with technical assessment tools (CodeSignal, HackerRank) and their ATS integrations.
  • SQL or BI tool experience for building custom analytics.

Responsibilities

  • Lead and develop a team of 4-5 direct reports (recruiting coordinators, sourcers, ops specialists) across different departments.
  • Set clear expectations, conduct 1:1s, provide feedback, and create development plans for team members.
  • Elevate the team's function from scheduling to data analysis, process optimization, systems ownership, and enhancing candidate experience.
  • Manage hiring and performance for the team, including making decisions on hiring, development, or departures.
  • Build career paths to retain talent within the team.
  • Foster a culture of speed, accuracy, and candidate obsession.
  • Own the ATS (Ashby) workflows, automations, approval chains, and reporting.
  • Build real-time analytics dashboards for pipeline health, funnel conversion, time-in-stage, and capacity.
  • Drive process discipline, including standards for stage movement, interview feedback, and debriefs.
  • Partner with Finance on headcount planning, forecasting, and capacity modeling.
  • Identify and eliminate manual steps through automation, ensuring data integrity and compliance.
  • Own the configuration, workflows, reporting, integrations, and team adoption of Ashby.
  • Partner with engineering on integrating assessment tools (HackerRank/CodeSignal) into Ashby.
  • Manage the sourcing stack (Juicebox, LinkedIn Recruiter, AI tools), driving adoption and measuring ROI.
  • Evaluate and roll out interview intelligence tools like Brighthire.
  • Ensure talent systems integrate with IT, Security, and People Ops, maintaining compliance.
