About The Position

This role provides essential administrative and operational support to the Talent Acquisition team, ensuring the smooth and efficient execution of recruitment processes. The administrator will manage offer letters, coordinate pre-employment testing, process invoices, support hiring events, manage candidate travel and expenses, maintain compliance, generate reports, and coordinate exit interviews and surveys. This position plays a key role in enhancing the candidate experience and supporting the overall success of recruitment efforts.

Requirements

  • 2+ years in a recruitment, HR, or administrative support role.
  • Experience with applicant tracking systems and HRIS platforms preferred.
  • Experience generating reports, surveys and tracking data.
  • Ability to analyze results and present insights.
  • Discretion and confidentiality with sensitive information is mandatory.
  • Strong attention to detail and organizational skills.
  • Excellent written and verbal communication.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel).
  • Ability to manage multiple priorities in a fast-paced work environment.

  • Previous experience in a construction or industrial industry considered an asset.

Responsibilities

  • Draft, proofread, and distribute offer letters accurately and in a timely manner, ensuring compliance with internal policies and labor regulations.
  • Schedule and track fit-for-duty exams, coordinating with candidates and third-party vendors.
  • Process invoices for recruitment vendors and services accurately and in a timely manner.
  • Assist in the booking and coordination of hiring events, job fairs, or campus recruiting activities, including logistics and SWAG preparation.
  • Ensure clear communication with hiring teams to align on goals and candidate engagement strategies for events.
  • Coordinate and manage candidate travel arrangements, including booking transportation, flights, and accommodations.
  • Handle candidate expense reimbursements, ensuring all submissions are documented and processed in compliance with policy.
  • Ensure proper documentation and retention of candidate records, offer letters, and testing results in alignment with company policy and compliance standards.
  • Prepare various staffing reports, including metrics related to employee turnover, tenure, and other workforce analytics.
  • Coordinate and conduct exit interviews for long-tenured employees, capturing insights on role history, organizational knowledge, and opportunities for improvement.
  • Summarize and share exit interview findings with the Talent Acquisition Director to support workforce planning and knowledge retention.
  • Administer recruitment-related surveys, collect, review, and analyze responses to identify trends and areas for improvement.
  • Compile survey findings into actionable reports for the Talent Acquisition Director.
  • Perform additional tasks, responsibilities, and special projects as required to support the Talent Acquisition team.
