About The Position

The Talent Acquisition Administrator will support the Talent Acquisition team in various administrative and coordination tasks. This role is crucial for ensuring the smooth operation of recruitment processes, from offer letter management to event support and data reporting. The administrator will handle sensitive information with discretion and contribute to a positive candidate experience.

Requirements

  • 2+ years in a data entry, recruitment, HR, or administrative support role.
  • Experience with applicant tracking systems and HRIS platforms preferred.
  • Experience generating reports, surveys, and tracking data.
  • Ability to analyze results and present insights.
  • Discretion and confidentiality with sensitive information is mandatory.
  • Strong attention to detail and organizational skills.
  • Excellent written and verbal communication.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel).
  • Ability to manage multiple priorities in a fast-paced work environment.

Nice To Haves

  • Previous experience in a construction or industrial industry considered an asset.

Responsibilities

  • Draft, proofread, and distribute offer letters accurately and in a timely manner, ensuring compliance with internal policies and labor regulations.
  • Schedule and track pre-employment testing, such as fit-for-duty exams, coordinating with candidates and third-party vendors.
  • Process invoices for recruitment vendors and services accurately and promptly.
  • Assist in the coordination of hiring events, job fairs, and campus recruiting activities, including logistics and preparation of materials.
  • Coordinate and manage candidate travel arrangements, including transportation, flights, and accommodations.
  • Handle candidate expense reimbursements, ensuring proper documentation and compliance with policy.
  • Maintain accurate candidate records, offer letters, and testing results in accordance with company policy and compliance standards.
  • Prepare staffing reports, including metrics on employee turnover, tenure, and other workforce analytics.
  • Coordinate and conduct exit interviews for long-tenured employees, summarizing findings for the Talent Acquisition Director.
  • Administer recruitment-related surveys, analyze responses, and compile findings into actionable reports.
  • Perform additional tasks and special projects as required to support the Talent Acquisition team.
