About The Position

Fielmann USA, Inc. is seeking a Store Development Procurement Administrator to own end-to-end procurement, sourcing, and order administration for store fixture packages and related store-opening and remodel purchases across Fielmann USA. The role supports new stores and remodel programs, translating approved fixture plans and project schedules into accurate, complete, competitively sourced, and timely orders. It combines strategic procurement with detailed project execution, including forecasting demand, issuing RFQs/RFPs, leveraging bulk purchasing, negotiating supplier terms, validating orders, coordinating production and delivery, and resolving exceptions before they affect construction or opening dates. The position maintains procurement plans tied to store-planning releases, construction schedules, vendor lead times, production capacity, freight, site readiness, and opening dates. It coordinates with internal teams and suppliers to evaluate proposals and total delivered costs, establish competitive pricing and terms, manage purchase orders through delivery and closeout, and maintain complete, audit-ready procurement records. The role is hybrid, with three days onsite and the option to work remotely two days per week.

  • Strong strategic sourcing, RFQ/RFP, bulk-purchasing, supplier-evaluation, total-cost analysis, and vendor-negotiation skills.

  • Maintain a rolling procurement plan aligned with planning releases, construction schedules, remodel calendars, vendor lead times, production capacity, freight, site readiness, and opening dates.
  • Aggregate store requirements to identify bulk-buy opportunities, blanket purchase orders, phased releases, production-capacity commitments, and consolidated freight strategies.
  • Identify long-lead items, supply constraints, price changes, and vendor-capacity risks; recommend advance purchasing, alternate sourcing, or schedule mitigation.
  • Confirm scope and release readiness with Store Planning, Construction, Store Development Finance, and Facilities before making purchasing commitments.
  • Develop RFQs and RFPs defining specifications, quantities, delivery requirements, service expectations, commercial terms, and evaluation criteria.
  • Identify and pre-qualify suppliers able to support a multi-store retail development program with consistent quality, capacity, and delivery performance.
  • Prepare bid-leveling and supplier-comparison analyses and document proposals, clarifications, approvals, and final sourcing decisions.
  • Confirm suppliers understand approved drawings and specifications, finishes, packaging, freight, installation interfaces, lead times, and project-specific delivery conditions.

  • Develop collaborative, accountable supplier relationships focused on quality, service, responsiveness, cost, and delivery reliability.

  • Validate every order before release, including item number, description, dimensions and specifications, finish, quantity, project/store, approved price, coding, ship-to location, requested delivery date, and required-on-site date.
  • Maintain a master purchasing tracker by store and vendor covering requisitions, purchase orders, acknowledgements, production status, shipments, deliveries, shortages, damage, replacements, returns, credits, and open issues.
  • Resolve backorders, late shipments, incorrect products, shortages, damage, substitutions, and expedite needs before they affect construction, installation, remodel completion, or store opening.
  • Reconcile orders, changes, receipts, invoices, credits, and open commitments; confirm project completion before turnover and closeout.
  • Follow disciplined controls to prevent missed or duplicate orders, incorrect quantities or specifications, wrong finishes, unauthorized substitutions, and avoidable premium freight.
  • Release purchase orders only after confirming approved scope, quantities, pricing, project coding, delivery requirements, and applicable capital authorization.
  • Use independent verification and documented checklists for high-dollar or complex fixture packages.
  • Maintain audit-ready records for quotes, approvals, purchase orders, revisions, vendor acknowledgements, delivery records, returns, credits, and closeout.

  • Immediately escalate material cost, schedule, supplier-capacity, or order-integrity risks with a clear owner and required action.
  • Communicate effectively across the organization, operate office equipment, meet established deadlines, and travel independently to support Company objectives and personal development.
