About The Position

Provides advanced administrative support to the SVP, Deputy General Counsel & Secretary, who is a member of the Firm’s Executive Management Committee. This role will work across corporate governance, corporate events and corporate responsibility, working with key leaders throughout the enterprise on a range of strategic initiatives. The role requires the ability to manage multiple priorities and exercise strong judgment. The individual must be highly organized, detail-oriented and capable of operating independently in a fast-paced environment, while also making sure key details are communicated to the team. This role offers a unique opportunity to go beyond traditional executive support and become an integral member of the corporate governance team, with the opportunity to learn and contribute to key governance processes. The role requires someone who is interested in understanding the context behind requests and learning the strategy, with excellent people skills and EQ allowing them to work across a range of stakeholders. The ideal candidate will possess excellent organizational skills, strong verbal and written communication abilities, exceptional attention to detail and the flexibility to adapt as priorities change. The individual will also demonstrate sound judgment and the ability to develop practical solutions in situations that may be atypical, time-sensitive or not clearly addressed by established procedures. Project manager mentality is a plus!

Requirements

  • 7 plus year of administrative experience supporting senior leaders, legal professionals, or executives in a corporate, legal, or professional services environment.
  • Exceptional organizational skills and attention to detail.
  • Ability to manage multiple priorities, adapt to changing demands, and work effectively in a fast-paced environment.
  • Proficiency in Microsoft Office and departmental technology platforms.
  • Strong interpersonal, verbal, and written communication skills.
  • Proven discretion and confidentiality when handling sensitive information.
  • Strong judgment, initiative, problem-solving skills, and ability to anticipate needs and prioritize competing requests.
  • Familiarity with AI-enabled tools and emerging technologies that enhance productivity, efficiency, and collaboration.

Responsibilities

  • Manage a complex executive calendar, including scheduling, prioritization and resolving competing demands on time. Flexibility to work extended hours on occasion, particularly in connection with Board meetings.
  • Assist with both Board of Directors and Executive Management Committee meetings, handling a range of activities including meeting logistics. Participate in weekly Office of the Corporate Secretary (OCS) staff meetings to gain context and familiarity with the planning and execution process.
  • Coordinate meetings, travel, expenses and other administrative activities.
  • Handle incoming calls, emails and requests with professionalism, discretion and sound judgment.
  • Track follow-up items, commitments and deadlines, ensuring timely completion and escalation when appropriate. Anticipate needs before they arise.
  • Learn and utilize BoardVantage and other governance-related systems and tools.
  • Assist with special projects, events and senior leadership meetings as needed.
  • Provide solutions to problems in situations that are atypical or infrequently occurring, drawing upon experience, judgment and established practices.
