About The Position

GFT is seeking a Senior Administrative Assistant to join our Construction Services team in our Raleigh, NC office! This role follows a hybrid-remote work model, requiring a minimum of 3 days of onsite office attendance per week. GFT’s construction services are the cornerstone of our commitment to transforming communities and enhancing lives. We oversee every construction phase to help ensure projects are completed on schedule, within budget, and to the highest safety and quality standards. Requirements

  • A High School Diploma or equivalent.
  • 5+ years of relevant experience as an administrative assistant.
  • Working knowledge of Microsoft Office Suite/Office 365 applications.
  • Experience with integrated IOS phone systems.
  • Excellent customer service skills.
  • Excellent written and verbal communication skills.
  • Ability to multitask, organize, and prioritize work activities.
  • Able to work independently and collaboratively as a team.

Nice To Haves

  • An Associate’s or Bachelor’s degree in a related area.
  • Prior experience in the Architecture, Engineering and Construction (AEC) industry.

Responsibilities

  • Provides advanced support to the business unit/business line administrative manager, management, and business unit staff with minimal guidance from supervisor.
  • Assist with preparing communications to employees within the corporate business group.
  • Review and process vendor invoices, and track accounts payable (AP).
  • Support timesheet and expense account entries.
  • Process conference, seminar, training registrations, and coordinate travel and meeting arrangements.
  • Administer employee certification maintenance.
  • Coordinate directly with Shared Services staff to resolve human resources, quality, safety, financial and operational matters.
  • Support company vehicle mileage log entries.
  • Process employee new-hire paperwork, change notices, and related documentation while ensuring compliance with company policies and procedures.
  • Visibly supporting and providing an efficient communications link between the employees in the Business Line and all company policies, procedures, directives, and activities.
  • Assist with employee Onboarding, Offboarding.
  • Supports the administrative needs of the business line field personnel.
  • Coordinate directly with Shared Services staff to resolve human resources, quality, safety, financial and operational matters.
