About The Position

Fort Bend County is seeking a Sr. Administrative Assistant for the Public Transportation Department. This role serves as a liaison between the Operations Manager and other department areas for projects, meetings, and deadlines. The position handles incoming calls for complaints and compliments, audits submissions, and ensures information is recorded in SharePoint. It involves researching and investigating operations complaints, documenting findings, and closing customer issues promptly. The role is responsible for creating and maintaining a compliment/complaint report and presentation materials for Monthly Business Meetings, as well as collecting and tracking Contractor Operations metrics. Additionally, the Sr. Administrative Assistant manages the department's email inbox, responds to or forwards emails, and sends mass emails as needed. The position also prepares and mails new Client Welcome Packets, maintains frequent contacts and the customer database, and participates in emergency management activities. Backup reservation call support may also be required.

Requirements

  • High School Diploma/GED
  • 3-year job-related experience
  • Strong computer skills
  • Strong verbal and written communication skills
  • Strong math and/or accounting background
  • Strong interpersonal skills and ability to deal effectively with the public, other employees and elected officials.
  • Valid Driver's License

Responsibilities

  • Liaison between the Operations Manager and other areas of the department for projects, meetings, and various deadlines.
  • Handles incoming calls for complaints/compliments.
  • Audits submissions and ensures all necessary information has been recorded in SharePoint.
  • Researches, investigates, collects necessary documentation and information regarding Operations complaints.
  • Returns customer calls to describe findings and ensures customer complaints and compliments are closed promptly.
  • Creates and maintains a compliment/complaint report for Monthly Business Meetings.
  • Creates presentation materials at the direction of the Operations Manager for Monthly Business Meetings.
  • Collects and tracks Contractor Operations metrics as required.
  • Maintains the department email box; responds to emails in a timely manner and/or forwards the email to the appropriate staff member.
  • Sends mass emails to client database as needed.
  • Prepares and mails new Client Welcome Packets.
  • Maintains department’s frequent contacts and the Fort Bend Transit customer database.
  • Participates in activities and duties related to emergency management during a local state of disaster as directed by appropriate county managers.
  • Provide backup reservation call support when needed.
