About The Position

The Specialist, Safety, Fleet, and Facilities is a key operational leader responsible for administering and managing the physical and logistical infrastructure and employee safety programs that support Urban Alchemy’s work across multiple metropolitan locations. This position ensures that all facilities are safe, functional, and aligned with operational needs; that the agency’s vehicle fleet is well-maintained and compliant; and that safety policies and protocols are implemented consistently across all sites. Reporting to the Director of Safety, Fleet, and Facilities, the Specialist plays a cross-functional role, coordinating with internal departments, external vendors, and program teams to support growth, efficiency, and service delivery. The ideal candidate will have deep operational experience, a commitment to safety and compliance, and a proactive approach to supporting teams working in dynamic urban environments.

Requirements

Bachelor’s degree in Business Administration, Public Safety, Facilities Management, or related field preferred. Equivalent experience accepted.
3+ years of experience in facilities, fleet, or safety operations—preferably in a nonprofit, public sector, or multi-site service organization.
Proven ability to supervise staff and vendors, manage projects, and coordinate with diverse teams.
Understanding of OSHA, ADA, DOT/DMV regulations, and building codes; ability to read maintenance plans or technical drawings is a plus.
Demonstrated ability to assess and respond to operational issues quickly, calmly, and effectively.
Proficiency in Microsoft Office; familiarity with fleet management systems, work order software, and basic facilities tech tools.
Willingness to travel to multiple sites and respond to operational needs that may occur outside of standard hours.

Occasionally moves within the office to attend meetings or retrieve documents from printers or fax machines.

Responsibilities

Oversee, administer and manage the implementation and enforcement of organization-wide safety policies, including site safety, staff training, and emergency preparedness.
Serve as co-lead or active member of Urban Alchemy’s Safety Committee; regularly assess risks and recommend improvements.
Coordinate safety drills, incident tracking, and investigation procedures; support compliance with OSHA and other applicable regulations.
Ensure that staff have access to appropriate safety equipment, supplies, and protocols at all UA sites.
Manage the agency’s vehicle fleet operations, including procurement, maintenance, inspections, and insurance coverage.
Establish and monitor systems for driver safety, vehicle tracking, mileage logging, and preventive maintenance.
Ensure compliance with Department of Motor Vehicles (DMV) and Department of Transportation (DOT) requirements.
Coordinate with Human Resources and Program Operations to ensure staff assigned to drive are trained and cleared.
Oversee day-to-day maintenance, repairs, and operational readiness of UA offices, shelters, service hubs, and other facilities.
Coordinate with property management companies, landlords, and maintenance vendors to resolve facility-related issues efficiently.
Ensure compliance with local building codes, health regulations, and safety standards.
Support planning and implementation of facility expansions, relocations, and renovations in alignment with program growth.
Develop and manage budgets related to safety, fleet, and facilities, in collaboration with Finance and Program Operations.
Support logistics for site openings, program transitions, and large-scale events or trainings.
Maintain inventory control systems for facility supplies, safety gear, and vehicle-related materials.
Respond to urgent facilities, fleet, or safety needs with a solution-oriented, collaborative approach.
Treat all Urban Alchemy guests, staff, and stakeholders with compassion and respect.
Use emotional intelligence to effectively engage and connect with others.
Follow all safety procedures and ensure compliance with OSHA, state, local, and Urban Alchemy policies.
Attend orientation and complete all required training mandated by the organization or funders.
Wear designated Urban Alchemy uniform and ID badge at all times.
Perform additional duties as assigned by supervisors.
