The Sales Administrator supports the sales organization by managing order processing, maintaining customer accounts, and ensuring accurate and timely communication between sales, customer service, and operations. This role is critical in driving efficiency, data accuracy, and a positive customer experience.

Requirements

  • High school diploma or equivalent required
  • Minimum of 2 years of experience in sales support, customer service, administrative support, or related field.
  • Strong attention to detail, organization, and problem-solving skills.
  • Proficient in Microsoft Office applications including Excel, Outlook, and Word.
  • Strong written and verbal communication skills with the ability to work effectively in a fast-paced environment.

Nice To Haves

  • Associate’s or Bachelor’s degree preferred.
  • Experience in optical, manufacturing, healthcare, or distribution environments preferred.
  • Knowledge of order management, fulfillment, or order-to-cash processes.
  • Experience working with ERP and CRM systems.
  • Familiarity with sales reporting, KPI tracking, and operational metrics.

Responsibilities

  • Serve as a primary point of contact for sales representatives and key customer accounts regarding orders, pricing, timelines, and service-related inquiries.
  • Process and manage sales orders accurately through internal systems, ensuring order details, pricing, and customer information are correct from entry through fulfillment and invoicing.
  • Provide proactive communication regarding order status, delays, backorders, and service concerns while resolving order discrepancies in partnership with internal teams.
  • Support onboarding activities for new customer accounts including system setup, documentation, and account maintenance.
  • Maintain accurate customer, sales, and order records within CRM and ERP systems while preparing recurring reports related to sales activity, KPIs, order volume, and operational performance.
  • Identify reporting inconsistencies and support process improvement initiatives to increase operational efficiency and data accuracy.
  • Partner cross-functionally with production, lab, shipping, billing, customer service, and sales teams to ensure smooth order flow and high levels of customer satisfaction.
  • Assist with quote generation, pricing updates, contracts, agreements, product files, and additional administrative support activities.
  • Support marketing-related functions including welcome kits, trade show materials, job stuffers, and sales support initiatives.
  • Participate in continuous improvement initiatives focused on customer experience, service levels, and operational effectiveness.
