About The Position

We are seeking a detail-oriented and proactive Space Coordinator to act as the primary workspace partner for assigned Product Areas (PAs). In this role, you will bridge the gap between team leaders and Workplace Planning, ensuring our physical environments adapt seamlessly to team growth, headcount changes, and daily operational needs. You will manage seat allocations, drive floor plan accuracy, and support office moves while delivering exceptional client service.

Requirements

• Strong Organization & Detail Orientation: Exceptional capability to manage multiple floor plans, seating charts, and headcount forecasts with absolute precision.
• Exceptional Client Engagement: Proven communication and interpersonal skills to build rapport with managers, handle allocation requests tactfully, and provide white-glove support.
• On-Site Agility: Comfortable walking office sites regularly, performing physical audits, and verifying spatial layouts in person.
• Cross-Functional Collaboration: Ability to partner effectively with Occupancy Planning, Workplace Planning, and Facility Management teams.

Responsibilities

• Serve as the primary point of contact for managers within assigned PAs, understanding unique team dynamics, daily workflows, and equipment requirements.
• Work directly with team leaders to collect projected headcount information and report accurate data back to the Workplace Planning (WPP) team.
• Act as a liaison between leadership and seat assignment requestors to evaluate requests and manage efficient allocation paths.
• Conduct routine space audits and field verifications to guarantee seating assignments and floor plans remain 100% accurate; report any discrepancies to WPP.
• Identify and designate seating placements for new hires and internal transfers.
• Escalate capacity constraints, bottlenecks, and broader planning issues to WPP proactively.
• Collaborate with Occupancy Planners on block plans, restacks, and larger scale projects by gathering team location/adjacency data and updating the "people mover" system.
• Coordinate small team moves, desk changes, and localized shifts with Occupancy Planning.
• Support end-to-end move execution and perform post-move validation checks.
• Partner with cross-functional (xFN) teams—such as Facility Management (FM)—to address workspace requests, including adjustments for acoustic panels and other minor environment upgrades.
• Shuffles W with managers and identifying where to place people, working back and forth with managers.
• Identifying headcount.
• New Hire Process - Seating people, understanding where people need to be seated and where they need to be adjacent to others.
• Should be subject matter experts for “everything seatingˮ, approvals, “homeworkˮ, being POC for Admins for anything that the team needs space-wise.
• ABP helps flag major things that happen but SCs coordinate small day to day things.
• Accessibility and wayfinding - First POC for all space questions and navigation, provide a hands-on support for people who need accommodations, close working relationship and excellent customer service.
• Understanding ins and outs of individuals needs.
• Understanding team special needs - Cabinets, storage, data and ports (specifics), and power needs, adjacencies, spatial needs (SF of each element, etc).
• Audits and space data consistency: Audits: waydesking checks, furniture audit, clean and well used space, sound proofing.
• Proactive space audits to flag before PAs have to submit a ticket.
