The Workday Payroll Specialist with partner with the broader Payroll team to process biweekly payroll for Canada. You'll ensure compliance and consistent application of federal, province, and local laws. In addition, you'll collaborate with Human Resources to resolve pay (and related) issues impacting our employees.

Requirements

  • College diploma in Business Administration or a related field.
  • 3-5 years of payroll processing experience in the Workday system including OSV or equivalent third-party administrator; minimum of one year experience with work/resident-based tax research.
  • Strong knowledge of Canadian payroll (specifically for Québec, Ontario, Alberta, Manitoba, and British Columbia) and time reporting, including payroll systems, processes, regulations, and policies.
  • Excellent working knowledge and understanding of Federal/Province tax filing regulations and other payroll legislation, including year‑end obligations (T4, RL‑1, summaries, and Records of Employment).
  • Advanced Microsoft Office skills, specifically Excel.
  • Excellent written and verbal communication skills in both French and English.
  • Demonstrated ability to comprehend, organize, analyze, and interpret data.
  • Strong customer service disposition and sense of professionalism.
  • Proven ability to organize and prioritize projects in a fast-paced and deadline-oriented business environment.

Nice To Haves

  • CPP or FPP certification (an asset).
  • Payroll experience in a multi-location organization, operating in the U.S. and Canada, highly preferred.

Responsibilities

  • Process all aspects of biweekly Canadian payroll and support U.S. payroll activities, which includes transferring data between timekeeping and payroll systems, and completing a payroll checklist.
  • Verify reconciliation and precheck audit reports to ensure accuracy of data entry and records.
  • Provide high‑quality customer service by investigating and responding to employee inquiries regarding payments, deductions, withholdings, garnishments, or payroll discrepancies.
  • Communicate with departments to ensure timely submission, corrections, and problem resolution of all payroll-related issues.
  • Administer all aspects of employee wage garnishments and statutory deductions for Canada and the U.S.
  • Update employees pay changes, including loan repayments, retirement contributions (e.g., RRSP/DPSP, 401(k)), benefit‑related deductions, taxable benefits, and other payroll‑related data.
  • Prepare, reconcile, and support year‑end payroll activities, including Canadian and U.S. reporting requirements (e.g., T4, RL‑1, W‑2, T-2200, TP-64.3, summaries, and amendments, where applicable).
  • Produce and manage Records of Employment (ROEs) in accordance with Service Canada and US requirements.
  • Support payroll processing related to statutory leaves, vacation pay, disability programs, and other earnings governed by Canadian legislation.
  • Receive necessary approvals for payroll related tasks such as payments and reimbursements; document and ensure compliance with company policies, procedures, and regulatory requirements.
  • Identify opportunities to improve payroll and timekeeping processes.
  • Support internal and external payroll audits by preparing payroll documentation, reports, and reconciliations as required.
  • Maintain employee confidence and protect payroll operations by ensuring strict confidentiality, accuracy, and integrity of payroll data.
