About The Position

The Service & Installation Admin Manager will work collaboratively with the Energy Service Representatives (ESRs), Field Coordinators and the Project Support Specialists. This role will be responsible for performing a wide range of transactional, administrative, and office support duties. The Service & Installation Admin manager will monitor the daily work of the Project Support Specialists and be responsible for KPI compliance of the program’s project tracker. The successful candidate is professional, self-motivated, customer driven and passionate about the energy efficiency industry.

Requirements

  • High School Diploma required.
  • Must be highly organized, detail oriented, and results driven.
  • Ability to communicate effectively, both verbally and in writing with customers, clients and employees.
  • Strong data entry skills in entering information in tracking systems/databases.
  • Ability to prioritize multiple projects and tasks to ensure timely delivery of high-quality deliverables.
  • Demonstrated ability to collaborate with a wide range of stakeholders while delivering excellent customer service in a highly dynamic growth environment.
  • Ability to work effectively in a fast paced, evolving, entrepreneurial work environment.
  • Proficient in Microsoft Office suite.
  • Ability to travel up to 10% of the time. Travel may include various means of transportation including automobile, public transportation, rail, and airplane.

Nice To Haves

  • Associates degree or better preferred.
  • Multilingual not required but preferred.
  • Knowledge of lighting, refrigeration, plumbing and energy conservation measures preferred.

Responsibilities

  • Supports Sales Manager, Senior Ops Manager, ESR and Field Coordinators.
  • Oversee and monitor Project Support Specialists daily activities and provide back-up support when needed, to include: verifying customer eligibility, monitoring scheduling of customer appointments, engaging with customer requests, creation of projects and issuing all docs to sub-contractors/vendors, monitoring contractor project status, monitoring vender material updates, and creating change orders.
  • Review project budgets to ensure they are within program limits.
  • Finalizes and submits budget project packages to the client.
  • Transmit documents to the field staff for signatures.
  • Communicates material and project delays to subcontractors.
  • Finalizing projects in system of record upon completion of project.
  • Monitoring and responding to incoming customer inquiries for participation, installation updates, and warranty needs via dedicated customer email address and phone line.
  • Reconciling contractor invoices, following up on Return Material Authorizations (RMA) to ensure credit.
  • Regular scheduled evaluation of team deliverables via weekly independent reviews.
  • KPI compliance on program’s project tracker report.
  • Reviewing and distributing any escalated customer requests to Senior Managers to seek resolution.
  • Monitor contractor installations and track to program’s revenue goal.
  • Creating and updating program Standard Operating Procedures (SOPs).
  • Produce accurate weekly summary reports based on assigned program activities.
  • Achieve and maintain the highest level of customer satisfaction ratings on post project survey.
