Requirements

  • Technically adept
  • Technologically fluent
  • High school diploma or equivalent
  • Excellent communication skills, both verbal and written
  • Strong organizational and time management abilities
  • Attention to detail and accuracy in maintaining appointment schedules
  • Proficient in using computer systems and software
  • Ability to multitask and prioritize tasks effectively

Nice To Haves

  • Previous experience in a customer service or administrative role is preferred

Responsibilities

  • Determine customer’s primary concern and schedule the necessary appointment.
  • Establish and maintain great customer relationships that encourage repeat and referral business.
  • Work as a team player and uphold the company’s standards of professionalism and integrity.
  • Develop and maintain a knowledge base of the evolving products, services and needs of the dealerships.
  • Answer all incoming customer calls promptly and professionally.
  • Document conversations and update customer records after each interaction.
  • Setting service appointments using the company’s electronic scheduling system
  • Work cooperatively with the service and other internal teams.
  • Communicate with callers and visitors in a professional, friendly, and efficient manner.
  • Schedule and confirm appointments for clients
  • Coordinate with clients and staff to ensure smooth scheduling process
  • Maintain accurate and up-to-date appointment calendars
  • Answer phone calls and respond to emails regarding appointment inquiries
  • Provide exceptional customer service by addressing client concerns and resolving any scheduling conflicts
  • Assist with administrative tasks such as data entry, filing, and organizing documents
