About The Position

In this role, you’ll make an impact in the following ways: Independently complete the full range of advanced administrative activities in support of a senior executive heading a large complex business unit or function. Conduct administrative assignments of the highest complexity, related to the assigned senior executive's attendance at or conduct of seminars, workshops, and/or conferences, among others, including production of materials that are highly sensitive in nature, scheduling, logistical arrangements, and liaising with participants, speakers, and vendors. Perform a high volume of special, diversified, long-term projects requiring interaction with multiple teams. Conduct research, compile analyses, and summarize information for reports and correspondences. Review and analyze highly complex data and manage highly complex, sensitive situations. Apply discretion to independently triage the full spectrum of requests, questions and problems directed toward the assigned senior executive's office, and appropriately prioritize, address and/or identify the level of urgency or need for escalation. Manage the flow of information to/from the senior executive, and is authorized to speak on behalf of them in certain limited circumstances. Develop correspondences, memoranda and reports on behalf of the senior executive, and/or review those drafted by the senior executive's direct reports for accuracy and tone. Prepare or liaise with the senior executive's direct reports to facilitate the development of budgets and preparation of budget presentations for review and use. Completes all billing and expense activities and resolves associated issues on behalf of senior executive. Assist with reporting and data gathering, leveraging AI, to support senior executive.

Requirements

  • Tact, diplomacy and confidentiality are essential skills based on the level of internal and external contacts.
  • Effective collaboration and communication skills are required, including information exchange with internal and external contacts.
  • Prior experience facilitating the full range of administrative activities for a senior executive.
  • Prior experience being responsible for your own quality and accurate completion of work as well as being responsible for effective collaboration with senior leaders.
  • Priority experience executing longer term work/projects as requested.
  • Requires ability to effectively prioritize competing requests and switch focus as needed.
  • High school/secondary school or the equivalent combination of education and experience is required.

Nice To Haves

  • 7+ years of total work experience preferred.
  • Bachelor degree in lieu of some experience may be considered.
  • Bachelor's degree, AA degree or relevant business certifications preferred.
  • Applicable vocational training or certifications (e.g., courses on relevant business software like the Microsoft Office Suite of products, basic business writing, or similar) preferred.
