About The Position

This role involves analyzing, generating, and recommending solutions for employer events and operations projects, often with external impacts. The Senior Project Administrator will lead and oversee others on complex assignments, supporting departmental business objectives. This includes assisting team members, providing feedback to management, and ensuring high-quality work and development. The position also requires providing administrative support to department executives, managing human resource functions, maintaining calendars, and handling day-to-day executive needs. The role demands dealing with sensitive information and diverse personalities in a fast-paced environment, coordinating visitor flow, and evaluating policies for improved efficiency. Additionally, it involves coordinating postmortem activities, identifying process improvements, conducting cost-benefit analyses, and leading implementation efforts.

Requirements

  • Associate's degree and four (4) years of secretarial or administrative assistance experience; or equivalent combination of education and experience.
  • Team lead experience or otherwise demonstrated leadership skills.
  • Effective communication skills.
  • Working knowledge of general office practices and procedures.
  • Strong organizational skills.
  • Effective interpersonal skills.
  • Basic working knowledge of Microsoft Office applications, including but not limited to Outlook, Word, PowerPoint and Excel.

Responsibilities

  • Analyze, generate, and recommend solutions for employer events and operations projects.
  • Lead and oversee others on complex assignments with external impacts.
  • Assist team members with complex tasks and provide feedback to team and management.
  • Assign department resources or cross-functional teams to external meetings, events, and project initiatives.
  • Evaluate alternatives, define end products, identify resources, and delegate responsibilities.
  • Manage vendor relationships, maintain project timelines and status reports, and develop mitigation tactics.
  • Handle and delegate materials such as invitations, compile or fine-tune presentation slide decks.
  • Develop meeting materials, giveaways, and event menus and contracts.
  • Provide administrative support for department executives, including reports for departmental data and statistics.
  • Provide administrative support in human resource functions, maintaining calendars, and assisting with executive management's day-to-day needs.
  • Coordinate general flow of internal and external visitors, telephone calls, and correspondence for executive management staff.
  • Evaluate effectiveness of policies and procedures to improve workflows and efficiency.
  • Coordinate postmortem activities with each project, including customer surveys and internal documentation.
  • Identify process improvement opportunities, conduct cost/benefit analysis, and recommend solutions.
  • Lead implementation efforts for identified process improvements.
  • Perform all other miscellaneous responsibilities and duties as assigned or directed.
