The Senior Order Entry Coordinator manages customer parts orders, quotes, and returns while providing updates on inventory, pricing, and shipments. They resolve order issues, maintained ERP/CRM data, and collaborate with internal teams to ensure smooth operations and customer satisfaction.

Requirements

  • High school diploma or equivalent; Associates Degree in Business or Marketing is highly desired.
  • Four years of experience in People Soft System or comparable Order Management system.
  • Experience in CRM systems. Salesforce experience preferred.
  • Two years of experience in a related field working with customers and/or order fulfillment.
  • Two years of experience in Original Equipment Manufacturing (OEM) part sales support.
  • Basic Computing skills: MS-Office, Windows, Outlook, etc.
  • Intermediate to Advanced Excel expertise level.
  • Excellent verbal and written communication skills.
  • Able to be tactful and use good judgment when dealing with customers
  • Able to perform basic high-school level math functions.

  • Salesforce experience preferred.

Responsibilities

  • Receive and process customer quotes, orders, exchanges, and service call returns.
  • Identify and resolve order and shipping errors, and customer returns.
  • Track orders and update customers as necessary.
  • Expedite the flow of customer orders with inventory control and shipping.
  • Proactively identify and offer other aftermarket parts to customers specific to their needs.
  • Ensure the smooth execution of customer returns (RMAs), as required.
  • Accurately maintain customer contact database.
  • Prepare commercial credit memos on returns to resolve billing issues.
  • Manage order entry emails and distribute as needed to ensure timely customer service satisfaction and response time.
  • Attend CSI meetings, inform CSI team of shipping issues requiring resolution and communicate meeting results with OE team.
  • Review parts backlog, identify at risk orders, and communicate accordingly.
  • Attend backlog meetings as needed.
  • With finance, resolve AR related issues.
  • Train new employees on order entry procedures.
  • Attend staff meetings, communicate AR, CSI and backlog related issues to the team.
  • Ensure Order Entry SOPs are current, complete, and distributed timely to the OE team.
  • Process and catalog customer returns (RMAs) in Peoplesoft (PS), receive physical RMA, evaluate and collaborate with vendors and internal resources.
  • Maintain customer ordering portals and related contact information.
  • Identify customer shipping issues and weaknesses, collaborate with department manager and team to aid in resolution.
  • Maintain customer asset and contact database in ERP and CRM systems.
  • Prepare commercial credit memos on returns to resolve billing issues.
  • Attend weekly department meetings.
