Mercer University is searching for a Senior Executive Assistant to Senior Vice President for University Marketing and to Chief of Staff on the Macon campus. The Impact You'll Make In this role, you will provide high-level administrative and operational support to the Senior Vice President for University Marketing and the Chief of Staff. You’ll be the trusted partner who keeps priorities aligned, budgets accurate, and projects moving forward. From managing marketing budgets to maintaining databases for advertising and event sponsorships, your work will directly influence the success of Mercer’s marketing initiatives and strategic partnerships.

Requirements

  • A bachelor’s degree from an accredited college or university and at least one year of progressively responsible executive-level administrative support experience, preferably supporting senior leadership in marketing, communications, or higher education is required.
  • In place of a bachelor’s degree, an equivalent combination of education and directly related professional experience will be considered.
  • Strong budget management skills, with experience in expense tracking and reporting.
  • Proficiency in Microsoft Excel for data management, plus familiarity with CRM or marketing databases (e.g., Salesforce, HubSpot).
  • Exceptional organizational skills and attention to detail – you can juggle multiple priorities without missing a beat.
  • Strong written and verbal communication skills, with the ability to interact professionally with internal teams, faculty and external partners.
  • Ability to maintain confidentiality and exercise discretion in handling sensitive information.
  • A proactive, solutions-focused mindset – you anticipate needs before they arise.

Nice To Haves

  • Experience with Workday is a plus.

Responsibilities

  • Manage and track the University Marketing budget and Office of the President budget, including processing invoices, reconciling expenses, and preparing monthly budget reports for leadership review.
  • Maintain and update databases for advertising placements, event sponsorships, and partnership agreements, ensuring accuracy and accessibility.
  • Coordinate logistics for marketing events, sponsorship activations, and university-wide initiatives, ensuring deadlines and deliverables are met.
  • Support the preparation of polished presentations, reports, and marketing performance summaries for the SVP and Chief of Staff.
  • Serve as the primary liaison for vendor communications, contracts, and renewals.
  • Support scheduling, meeting coordination, and follow-up actions for both the SVP for University Marketing and the Chief of Staff.
  • Assist with project tracking, ensuring campaigns and initiatives stay on time, within scope, and on budget.
