About The Position

As a strategic thought partner, the Senior Director of Operations oversees the office's day-to-day operations, ensuring that it runs efficiently and that all National team members have what they need to succeed (such as equipment, supplies, record keeping, and a safe and supportive work environment). The Senior Director of Operations also coordinates HR, financial, tax, legal, and other communication and information flow among and between ProgressNow’s key stakeholders: board members, executive management, affiliates, staff, vendors, funders, and others within the general nonprofit sector. This position reports to the President and supervises and supports the professional development of the Operations Coordinator.

Requirements

  • Knowledge of 501c3 and 501c4 compliance, with 5+ years of experience in nonprofit operations.
  • The ideal candidate has experience with final responsibility for the quality and content of all financial data, reporting, and audit coordination for either a division or significant program area and has preferably overseen a human resources function previously.
  • Ability to translate financial concepts to – and to effectively collaborate with -- programmatic and fundraising colleagues who do not necessarily have finance backgrounds.
  • Commitment to training programs that maximize individual and organizational goals, including best practices in human resources activities.
  • Excellent communication and relationship-building skills with an ability to prioritize, negotiate, and work with a variety of internal and external stakeholders

Responsibilities

  • Support the President in the development, coordination, and execution of the annual budget process and cash-flow projections for ProgressNow.
  • Oversee and lead the Fiscally Sponsored Project (FSP) annual budgeting and planning process; administer and review all financial plans and budgets; monitor progress and changes; and keep the executive team abreast of the FSP’s financial status.
  • Manage the budget in association with accountants and the President, reviewing monthly reports.
  • Coordinate and lead the annual 990 and bi-annual audit process, liaise with external auditors and the board of directors if necessary, and assess any changes required.
  • Analyze and present financial reports accurately and timely; clearly communicate monthly and annual financial statements; collate financial reporting materials for all affiliate FSPs and ProgressNow entities; and oversee all financial, project/program, and grants accounting as needed.
  • Effectively communicate and present critical financial matters to the President and board of directors.
  • Ownership of the month-end close process for PN, PNE, and all FSPs; to include month end close reporting to corresponding stakeholders and Executive Directors, completed with support from the Operations Team.
  • In coordination with PN’s Professional Employer Organization (PEO), ensure that PN complies with all state and federal laws and requirements regarding human resources.
  • Serve as point person for all PN and FSP staff on HR issues and inquiries.
  • Coordinate the completion of performance reviews, salary changes, and COLA increases.
  • Other HR duties as needed and appropriate.
  • Oversight of internal operations of ProgressNow while ensuring they run smoothly and processes are put into place to deliver performance and achieve goals.
  • Update and maintain operating procedures manual.
  • Oversee payroll management, ensuring no errors in processing and accuracy of calculations by PEO, to include unemployment insurance and payroll taxes.
  • Providing financial reports for funders, grant proposals, and grant reports as needed.
  • In cooperation with the Managing Director, ensure that PN adheres to the strategic plan and delivers updates as needed/required.
  • Serve as a resource for affiliate operations staff to provide guidance and best practices on operations, finance, and administration
  • Develop and maintain a folder of template materials
  • Convene and support an operations workgroup across affiliate organizations to serve as a shared spaces for peer to peer learning and best practice development
