About The Position

The Senior Director of Operations provides high-level operational and administrative support to the Chief Operating Officer (COO) to ensure the effective execution of StartCare’s mission, vision, and strategic goals. This role is responsible for coordinating daily operational activities, monitoring performance outcomes, and assisting in the implementation of organizational initiatives that enhance efficiency, compliance, and quality of care across all programs and sites. This role serves as a key liaison between departments, helping to drive accountability, streamline processes, and ensures that the COO’s priorities are effectively communicated and executed. This critical role in supporting and advancing the strategic initiatives of StartCare and will be responsible for successfully planning, executing, and closing projects across various departments to implement key organizational priorities.

Requirements

  • Bachelor’s degree in Healthcare Administration, Public Health, Business Administration, or a related field required
  • Minimum of 3 years of experience in operations, project management, or administrative support within a healthcare or nonprofit organization
  • Strong understanding of healthcare operations, compliance standards, quality management, and quality improvement practices
  • Proven experience leading projects from initiation through completion, including planning, execution, resource allocation, risk mitigation, and monitoring.
  • Strong analytical, organizational, decision-making, and problem-solving skills, with the ability to manage multiple priorities, deadlines, changing requirements, and confidential information.
  • Excellent written and verbal communication skills, with the ability to prepare professional reports and presentations and communicate complex information to technical and non-technical stakeholders.
  • Demonstrated leadership and collaboration skills, with the ability to guide cross-functional teams, foster teamwork, manage conflicts, and negotiate project constraints and resources.
  • Proactive approach to identifying process improvements, implementing best practices, and aligning project goals with organizational strategic objectives.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and project management/data tracking tools (e.g., Monday.com).
  • Commitment to ethical standards, integrity, and delivering high-quality outcomes that meet organizational and stakeholder expectations.

Nice To Haves

  • Master’s degree preferred
  • 5+ years of project management experience preferred
  • familiarity with substance use treatment is advantageous
  • PMP, PRINCE2, or other recognized project management certification highly desirable

Responsibilities

  • Support the COO in managing and monitoring organizational operations, including program performance, quality improvement, compliance, and administrative functions.
  • Assist in developing and tracking operational goals, KPIs, and performance dashboards to measure progress and identify opportunities for improvement.
  • Prepare reports, data analyses, presentations, and briefings for leadership meetings, board reports, and external stakeholders.
  • Coordinate and track progress on organizational projects and strategic initiatives, ensuring timely follow-up on action items and deliverables.
  • Collaborate with cross-functional teams to identify and implement process improvements that promote operational efficiency and alignment with regulatory standards.
  • Support the development, review, and implementation of operational policies, procedures, and workflows.
  • Maintain strong communication and follow-up with program leaders and administrative teams to ensure smooth day-to-day operations.
  • Provide logistical support for meetings, trainings, and internal events led by the COO.
  • Research, compile, and summarize data and best practices to inform operational decisions.
  • Assist with special projects as assigned by the COO and senior leadership team.
  • Manages COO’s calendar.
  • Develop and maintain detailed project plans, timelines, and budgets.
  • Coordinate with cross-functional teams to ensure effective project execution.
  • Monitor project progress and adjust as necessary to ensure successful outcomes.
  • Act as a liaison between project teams and senior management, providing regular updates on project status, risks, and issues.
  • Facilitate communication and collaboration among team members and stakeholders.
  • Collaborate with various departments to identify opportunities for process improvement and optimization.
  • Foster a culture of teamwork and cooperation across the organization.
  • Identify potential risks and develop mitigation strategies.
  • Proactively address issues to minimize their impact on project timelines and objectives.
  • Collaborate with department heads to allocate resources efficiently.
  • Ensure Project teams have the tools and support to achieve project goals.
  • Monitor project deliverables to ensure they meet established quality standards.
  • Implement best practices and continuous improvement initiatives.
  • Maintain accurate and up-to-date project documentation.
  • Generate regular reports for senior management, highlighting project status, achievements, and challenges.
