About The Position

The Senior Coordinator, Academic Affairs Operations, collaborates with a team of Senior Coordinators in Instructional Operations, the Managing Director, Deans, and departmental leadership to design and implement workflows that align systems, processes, and resources with institutional strategic goals.

Requirements

  • College policies and community resources related to student behavioral intervention and crisis response, including collaboration with faculty.
  • Familiarity with statistical and analytical methodologies.
  • Principles and practices associated with servant leadership.
  • Effectively use interpersonal and communications skills, including tact and diplomacy with all constituencies.
  • Effectively use organizational, managerial and event planning skills with attention to detail and follow-through.
  • Possesses facilitation and interpersonal skills as well as the ability to think independently and proactively solve problems.
  • Maintains confidentiality of work-related information and materials.
  • Resolves scheduling and/or resource deployment issues and conflicts.
  • Focuses on achieving optimum levels of service and maintaining high ethical standards and attention to compliance with college policies and regulations.
  • Demonstrates initiative and determination to provide valuable and timely services.
  • Possesses supervisory, coaching and interpersonal skills as well as the ability to think independently and proactively solve problems.
  • Intermediate to advanced proficiency using standard office software applications.
  • Bachelor’s degree.
  • Four (4) years of related experience, or an Associate’s degree with two (2) years of related experience may be substituted for the required education (plus the required experience noted below).
  • Three (3) years of related experience.

Nice To Haves

  • Master’s degree or above.
  • Experience in a higher education setting supporting operations within the instructional area.
  • Master’s degree or four (4) years of related experience may satisfy the minimum education requirements.

Responsibilities

  • Operates under the direct supervision of the school dean or designated supervisor.
  • May oversee limited hourly staff, including interns and temporary employees, and may coordinate their schedules.
  • May provide guidance to new staff hires as part of onboarding and training processes.
  • Works independently on routine tasks while seeking direction for more complex assignments.
  • Collaborates, organizes, and facilitates activities within programmatic areas, ensuring all elements align with project and Academic Affairs goals.
  • Leads development of comprehensive project plans for small- to medium-sized initiatives, showing attention to detail and effective time management.
  • Effectively engages with college personnel and external partners, including industry stakeholders, to achieve project objectives.
  • Oversees coordination of special, innovative departmental or school initiatives, demonstrating a commitment to organizational efficiency.
  • Supports, coaches, and guides team members while fostering a collaborative and respectful work environment.
  • Remains current on institutional and Academic Affairs goals and strategies related to student success initiatives and operational excellence, and assists with implementation, assessment, and alignment.
  • Gathers, organizes, and supports the initial interpretation of data related to process improvement, student success programs and initiatives, and supports implementation of recommendations to improve student success outcomes and/or operational excellence.
  • Collaborates cross-functionally to build relationships with faculty, staff, and other stakeholders.
  • Monitors all relevant timelines and ensures adherence to deadlines.
  • Coordinates student complaint and academic integrity workflows in partnership with faculty, department chairs, deans, and Student Affairs stakeholders.
  • Collaborates with centralized strategic scheduling, and helps facilitate course offerings in accordance with an instruction-wide, student-centered approach.
  • Assists deans and departments with budget monitoring in coordination with the Managing Director to support optimal stewardship, communication, and workflow.
  • Collaborates and coordinates with Business Services/Purchasing.
  • Works with the school dean and departments to identify and develop requests for Full-Time Faculty (FT) and Temporary Emergency Hire (TEH).
  • Collaborates and coordinates with academic affairs leadership and Human Resources.
  • Assists with or leads special projects and initiatives as needed.
  • Assists deans and department chairs with event planning; attends and staffs events; includes developing and maintaining a calendar and communications for public facing events.
  • Collaborates and coordinates with the Office of Communications and Marketing and Academic Affairs Communications as needed.
  • Provides support to deans and department chairs related to program accreditation and/or College accreditation.
  • Serves as a point of contact on operational issues that arise during intersession/off-contract periods when department chairs are unavailable.
  • May lead or serve on various shared governance councils, committees, and ad hoc work groups.
