About The Position

The Senior Associate University Registrar is a member of the leadership team in the Office of the University Registrar (OUR), reporting to the University Registrar. They are primarily responsible for leading the functional and technical operations in OUR, overseeing the implementation of academic policies and processes, evaluating office and institutional practices to identify areas for improvement, providing and ensuring daily operations are carried out smoothly and according to best practices.

Requirements

  • Bachelor's degree
  • Seven years of leadership experience in a registrar’s office or campus partner office working with academic information and overseeing operations, including staff supervision.
  • Proficient in the functional design, use and management of student information systems.
  • Knowledge of current best practices in the registrar profession.
  • Experience successfully evaluating, designing, implementing and improving administrative processes in collaboration with campus partners in a decentralized university environment.

Responsibilities

  • Provide strategy and direction for daily operations of the Office of the University Registrar.
  • Act on behalf of the University Registrar in their absence.
  • Supervise associate university registrars for curriculum, records and systems and technology, providing appropriate support and direction for each team while facilitating coordination across units; ensure teams adhere to service models to provide high-quality, responsive engagement with campus constituencies.
  • Foster an office-wide responsive service orientation that supports the academic mission of the university.
  • Collaborate with the associate university registrar for data and analysis and the associate director of academic engagement to ensure the University Registrar is appropriately informed of office operations and emergent issues and consulted as necessary.
  • Monitor process, documentation and training practices to ensure consistency and accuracy across units and recommend improvements.
  • Provide appropriate direction and advice for campus partners such as Athletics, the Center for Career Engagement, Advancement, the Office of the Provost, etc.
  • Manage the implementation of the academic calendar in Workday.
  • Oversee implementation of new academic programs in campus systems to ensure cross-functional coordination, supporting school and unit goals and institutional guidelines.
  • Advise Workday Student Support Team and OUR team members on academic structure, student and other academic data elements and configuration changes to support university initiatives and external compliance matters.
  • Participate in university-wide academic and administrative policy initiatives, and serve as a primary resource for academic process and policy decisions as a subject matter expert or consultant for campus partners and OUR team members.
  • Lead OUR efforts to incorporate best practices into curriculum management, academic records and registration; guide efforts to incorporate new tools and processes.
  • Provide leadership in OUR engagement with the Workday Student Support Team; ensure subject matter expertise on Workday functionality and OUR use of the system is brought forward in system governance, troubleshooting and campus support and engagement.
  • Serve as primary security contact for the Workday Student Support Team, on behalf of the University Registrar.
  • Collaborate with and support OUR staff and campus partners in system implementations, upgrades and maintenance to ensure alignment with priorities and budgets.
  • Edit and approve policy documentation in the University Bulletin.
  • Coordinate with OUR colleagues, Workday Support Team and WashU IT in maintaining system and integrations, i.e. testing and engaging with upgrades and ongoing maintenance.
  • Address support requests from campus partners and students and escalate as necessary in alignment with Workday support delivery model.
  • Serve on the Office of the University Registrar management team to support, direct, and guide office operations.
  • Engage in professional development activities and study to improve professional skills and stay current on regulations and best practices.
  • Attend and present at seminars and conferences to develop expertise and a network of colleagues and to represent WashU in St. Louis.
  • Perform other duties as assigned.
