THE OPPORTUNITY This role focuses on managing and optimizing outside services programs, including waste streams (trash, recycling, grease, and oil caddy) and Fire & Life Safety compliance across all restaurants. The Senior Analyst will partner with vendors and internal stakeholders to ensure service level agreements (SLAs) are met, performance is tracked, and accountability is enforced. A key part of the role involves analyzing service, invoice, contract, and financial data to understand cost drivers and their impact on the Outside Services budget. The analyst will evaluate vendor rate structures and billing components to validate charges and identify avoidable costs. They will monitor actual spend against budget and forecast, identify variances, financial risks, billing errors, and cost-recovery opportunities, and collaborate with various departments and vendors to resolve issues. The position also involves developing business cases, recommending and implementing cost-saving initiatives, developing procedures and training materials, leading cross-functional collaboration, conducting business reviews with vendors, and applying Lean/Scrum methodologies. Support for incident response and escalation management is also a responsibility.

Requirements

  • High school diploma or GED required
  • 3+ years of experience in facilities, operations, vendor management, or related field preferred.
  • Experience managing vendors and service programs across multiple locations.
  • Strong financial acumen and analytical skills, including the ability to interpret budgets, forecasts, invoices, contracts, rate structures, and cost drivers and translate findings into actionable business decisions.
  • Proven ability to manage multiple priorities in a fast-paced, high-volume environment.
  • Strong communication skills, with the ability to influence cross-functional partners and translate technical concepts clearly.
  • Advanced proficiency in Microsoft Excel and Microsoft Office Suite
  • Self-starter with strong critical thinking skills and a continuous improvement mindset.
  • Ability to work both independently and collaboratively in a team environment.

Nice To Haves

  • Bachelor’s degree in a related field preferred or equivalent experience.
  • Working knowledge of or exposure to Fire & Life Safety and waste management programs, including trash, recycling, grease, and oil service pricing and billing models, preferred.
  • Demonstrated experience in process improvement using Lean, Scrum, or similar methodologies preferred.
  • Demonstrated experience identifying, recommending, implementing, and measuring cost-savings or cost-avoidance initiatives preferred.
  • Experience with business intelligence tools, financial reporting, or CMMS platforms preferred.

Responsibilities

  • Manage and optimize outside services programs, including waste streams (trash, recycling, grease, and oil caddy) and Fire & Life Safety compliance across all restaurants.
  • Partner with vendors and internal stakeholders to ensure service level agreements (SLAs) are met, performance is tracked, and accountability is enforced.
  • Analyze service, invoice, contract, and financial data to understand the cost drivers for trash, recycling, grease, and oil services and assess their impact on the Outside Services budget.
  • Evaluate vendor rate structures and billing components, including service frequency, container size, haul and disposal fees, surcharges, overages, contamination charges, and applicable rebates or credits, to validate charges and identify avoidable costs.
  • Monitor actual spend against budget and forecast, identify variances, financial risks, billing errors, and cost-recovery opportunities, and partner with Finance, Procurement, Accounts Payable, and vendors to resolve issues.
  • Develop business cases and recommend, implement, and measure cost-savings and cost-avoidance initiatives specific to trash, grease, and oil programs while maintaining restaurant operations, safety, and compliance requirements.
  • Develop, document, and maintain procedures and training materials related to outside services programs and warranty processes.
  • Lead cross-functional collaboration with Facilities, Finance, Procurement, Accounts Payable, Field Leadership, and external partners to align on priorities, budget performance, and continuous improvement initiatives.
  • Conduct recurring business reviews with vendors and internal stakeholders to review operational and financial performance, validate realized savings, drive improvements, and resolve systemic issues.
  • Apply Lean / Scrum methodologies to improve workflows, reduce waste, and increase operational effectiveness.
  • Support incident response and escalation management related to Fire & Life Safety and other critical vendor services.
